Position Description

Pay Grade: Coordinator 4

The position provides program coordination for the Career & Professional Development (CPD) department within Wake Tech's Career Services. CPD offers career exploration and job readiness training to a unique and diverse population which includes current students, alumni, prospective students, and community members. This position plays a vital role in maintaining operational excellence, delivering exceptional customer service, and facilitating the smooth execution of non-credit workforce classes and programs.

Responsibilities and Duties (*Essential Functions)

  • Manages, develops, and implements workflows for registration, scheduling, documentation, and reporting.
  • Coordinates the student user experience including enrollment, course selection, and pathway planning. Serves as the primary point of contact for internal and external inquiries including community support agencies.
  • Manages the contract lifecycle including creation, revision, and tracking. Coordinate payroll processes aligned with instructional delivery.
  • Collaborates with Workforce Developments Registrar to ensure compliance with college and system policies. Develops, maintains, and audits digital records via SharePoint and Teams.
  • Serves as the primary liaison for instructor and student concerns, proactively addressing issues and collaborating with CPD leadership to implement timely and effective resolutions with a high degree of customer service.

Oversees the preparation and distribution of class materials, documentation, and instructor resources. Coordinates timely delivery of instructor resources both in-person and via SharePoint and Teams.

Provides onboarding and operational training for new staff and instructors on CPD procedures and Wake Tech systems.

Supports data collection and analytics in collaboration with the Associate Director, compiling class reports, service utilization metrics, and participant satisfaction data.

Works closely with Career Services Event & Marketing Coordinator to develop marketing plans that promote courses, events, and community outreach.

Participates in and supports events, activities, and outreach within Career Services.

Additional duties as assigned by CPD leadership.

Qualifications

Knowledge, Skills, and Abilities

Ability to operate in a fast-paced work environment with strong organizational and prioritization skills to handle multiple tasks and projects

Strong technical proficiency with Microsoft 365 applications

Flexibility and reliability to work independently and in remote teams

Demonstrated creativity and resourcefulness in troubleshooting, problem solving and developing new ideas and strategies

Ability to travel to other campus locations, and work evening and weekend events, as necessary

Excellent customer services skills across modes, in-person, online, via phone

Minimum Requirements

High School or equivalent

Five years of administrative or program coordination experience, which includes at least three years of experience providing customer or user support.

Experience using and managing cloud-based systems and applications such as Microsoft 365, Google Suite, etc.

Preferences

Associates degree

Experience in post-secondary education or training settings

Experience supporting adult learners
