Operations Administrator
Are you an experienced administrative professional with a background in the construction industry? Our client is seeking a highly organized and detail-oriented Operations Administrator to support our Vice President and Operations team. This role serves as a key liaison between project managers, leadership, customers, vendors, and internal departments, ensuring critical contracts, fleet administration, and operational processes run smoothly.
What You'll Do
Contract Administration
Create and process contract addendums and revisions
Maintain and update contract logs for multiple divisions
Obtain and distribute Certificates of Insurance (COIs)
Request and coordinate performance and payment bonds
Ensure contract documentation is completed and returned to customers
Review incoming subcontracts and change orders through DocuSign and route appropriately
Process contracts accurately and in a timely manner
Operations & Project Support
Support Project Managers with organization, reporting, monthly billing, collections, and project-related administration
Assist with project closeout documentation
Schedule meetings and coordinate conference room usage
Prepare meeting minutes, reports, presentations, and executive communications
Manage confidential business documents and information
Serve as a liaison between clients, vendors, project teams, and company leadership
Fleet Administration
Maintain company vehicle assignments and fleet records
Order gas cards and issue driver PINs
Coordinate onboarding for new drivers and vehicle policy training
Distribute Geotab safety reports to management
Assist with fleet-related documentation and compliance
What We're Looking For
3+ years of administrative, operations, project coordination, contract administration, or executive support experience
Construction industry experience strongly preferred
Experience supporting multiple projects, field teams, or operations leaders
Knowledge of contracts, change orders, subcontracts, insurance certificates, and construction documentation
Strong proficiency in Microsoft Office, especially Excel, Word, PowerPoint, and Outlook
Experience with DocuSign or similar document management systems
Outstanding organizational skills with the ability to manage multiple priorities and deadlines
Excellent written and verbal communication skills
High degree of discretion when handling confidential information
Pay Details: $30.00 to $33.00 per hour
