Role Overview
The Procurement Specialist supports end to end software purchasing and renewal activities across Microsoft organizations. This role requires deep familiarity with Microsoft s internal procurement, legal, and security workflows, as well as the ability to represent Microsoft professionally in supplier interactions. You will partner closely with internal stakeholders, procurement operations teams, and cross functional groups to ensure compliant, cost effective, and timely acquisition of software and related services.
Key Responsibilities
Supplier Engagement
Representation
Serve as Microsoft s point of contact with suppliers during new purchases, renewals, and contract negotiations.
Manage supplier communications, ensuring clarity, professionalism, and alignment with Microsoft policies.
Coordinate with suppliers to gather quotes, validate terms, and support contract execution.
Internal Procurement Operations
Navigate and execute procurement activities using Microsoft s internal procurement, legal, and security systems.
Partner with internal procurement teams (Legal, Security, Finance, Compliance) to ensure all dependencies and approvals are completed.
Support internal customers through the intake, evaluation, and processing of new software purchase requests.
Stakeholder Management
Collaborate with internal teams across multiple organizations and management levels to understand requirements, timelines, and budget constraints.
Provide guidance on procurement processes, system usage, and policy expectations.
Communicate status updates, risks, and next steps clearly and proactively.
Software Licensing
Usage Management
Analyze software license usage telemetry to ensure compliance and identify optimization opportunities.
Track renewals, usage trends, and cost drivers to support forecasting and budget planning.
Recommend adjustments to licensing models or allocations based on usage insights.
Financial
Cost Management
Manage fiscal charge backs across teams and organizations, ensuring accuracy and transparency.
Support cost forecasting, budget alignment, and financial reporting for software spend.
Identify opportunities for cost savings, consolidation, or improved vendor terms.
Preferred Skills
Experience
Prior experience with Microsoft s internal procurement, legal, and security systems (e.g., internal procurement portals, legal intake workflows, security review processes).
Strong internal stakeholder management skills across engineering, operations, finance, and leadership teams.
Experience with supplier communications for new sales, renewals, and contract negotiations.
Familiarity with software license telemetry, usage analytics, and compliance monitoring.
Ability to manage organizational charge backs, cost allocations, and fiscal tracking.
Competence in software usage analysis and cost forecasting.
Excellent written and verbal communication; able to represent Microsoft professionally.
Experience collaborating with internal partner teams such as Legal, Security, Compliance, and Procurement Operations.
