Job Summary
The Onboarding & IT Support Coordinator supports the successful execution of a manufacturing apprenticeship program by coordinating onboarding activities, preparing training environments, providing basic IT support, and maintaining program documentation. This role works closely with apprentices, managers, and internal stakeholders to ensure a smooth onboarding experience while supporting program administration, reporting, and event coordination. The ideal candidate is highly organized, customer-focused, and comfortable balancing operational coordination with hands-on computer setup and troubleshooting.
Job Responsibilities
- Coordinate onboarding activities for apprenticeship program cohorts, supporting groups of 48–60 participants.
- Assist with multiple multi-day onsite onboarding events throughout the year.
- Set up classrooms, training rooms, and computer workstations for onboarding and training sessions.
- Provide basic computer and IT troubleshooting during onboarding events and training activities.
- Prepare, organize, and distribute onboarding materials and training resources.
- Create, maintain, and update spreadsheets, reports, and program documentation.
- Track apprentice attendance and maintain accurate program records.
- Audit electronic apprentice files before, during, and after each program cohort.
- Coordinate graduation ceremonies and other apprenticeship program events.
- Support program reporting, audits, and operational tracking.
- Assist with invoicing and basic accounts payable/accounts receivable documentation.
- Communicate effectively with apprentices, managers, instructors, and internal stakeholders.
- Travel between assigned campuses to support program operations as needed.
- Perform additional program coordination and administrative duties as assigned.
Job Requirements
- Bachelor's degree with 3–5 years of related experience, or Master's degree with 0–3 years of related experience.
- Experience in onboarding coordination, training coordination, program coordination, HR coordination, or a similar operational support role.
- Experience setting up computers and providing basic IT troubleshooting.
- Strong proficiency with Microsoft Office, including Excel.
- Experience creating reports, maintaining spreadsheets, and tracking operational data.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills.
- Strong customer service skills with the ability to support large groups.
- Ability to work independently in a fast-paced environment.
- Reliable personal vehicle required for travel between assigned work locations (travel expenses are not reimbursed).
- Must be eligible to access Export Controlled Information and complete required U.S. person verification.
