MMC is seeking a highly organized and detail-oriented Onboarding & Compliance Representative to support the employee onboarding lifecycle across multiple client programs and states.
This role is responsible for ensuring new hires successfully complete required onboarding, background checks, drug screenings, Form I-9 requirements, employment eligibility verification, and client-specific compliance requirements before beginning an assignment.
A key focus of this position is using technology and automated onboarding workflows to efficiently manage a high volume of new hires. Rather than manually managing every onboarding step, the Onboarding & Compliance Representative will monitor dashboards, reports, workflows, and exception queues to identify incomplete or failed processes and intervene when necessary.
The ideal candidate is highly organized, technology-focused, comfortable working across multiple systems, and able to manage competing priorities while maintaining accuracy, confidentiality, and compliance.
Monitor new-hire onboarding activity from initiation through final clearance.
Oversee automated onboarding workflows and ensure required forms, notifications, and tasks are generated and completed appropriately.
Monitor onboarding dashboards, reports, and exception queues for incomplete, overdue, or failed processes.
Take ownership of onboarding exceptions and resolve issues that cannot be completed through standard automated workflows.
Troubleshoot onboarding system issues and escalate technology or integration problems when necessary.
Assist with testing and implementation of new onboarding workflows, system enhancements, and automation initiatives.
Identify opportunities to streamline processes, reduce manual work, and improve the overall onboarding experience.
Initiate and monitor background checks and drug screenings based on client and position requirements.
Track screening progress and follow up on incomplete or outstanding requirements.
Verify required screenings are completed before employees are cleared to begin assignments.
Coordinate with candidates, screening vendors, internal teams, and clients to resolve screening issues or exceptions.
Maintain appropriate screening documentation.
Escalate screening results requiring additional HR review according to company procedures.
Monitor timely completion of Form I-9 requirements for new hires.
Review I-9 documentation and workflows for completeness and accuracy.
Track outstanding Section 1 and Section 2 requirements and applicable deadlines.
Monitor reverifications and expiring employment authorization documentation.
Support E-Verify processes when applicable.
Escalate I-9 discrepancies or compliance concerns to HR leadership.
Maintain organized, accurate, and audit-ready electronic I-9 records.
Monitor onboarding requirements across multiple states, jurisdictions, clients, and programs.
Ensure state-specific and client-specific documents are included in the appropriate onboarding workflows.
Track additional employment documentation, including work permits, certifications, licenses, and assignment-specific requirements when applicable.
Maintain awareness of changes to onboarding requirements and partner with HR and leadership to update processes accordingly.
Ensure employees are not cleared to begin work until all required onboarding and compliance requirements have been satisfied.
1–3 years of experience in employee onboarding, HR administration, staffing, recruiting operations, compliance, or a related field preferred.
Experience working in a high-volume staffing, recruiting, HR, or multi-state employment environment strongly preferred.
Working knowledge of Form I-9 and employment eligibility requirements preferred.
Experience coordinating background checks and drug screenings preferred.
Strong computer skills with the ability to quickly learn multiple HR, ATS, onboarding, and screening platforms.
Comfortable working with automated workflows, dashboards, reports, and exception queues.
Strong organizational and time-management skills.
Exceptional attention to detail with the ability to identify discrepancies and incomplete requirements.
Ability to manage multiple priorities and deadlines in a fast-paced, high-volume environment.
