Careerscape is recruiting on behalf of our client, a well-established professional services firm based in Chicago, IL for an Administrative Assistant to join their team on a remote basis. Day to day, you'll be the connective tissue between departments, fielding calls and emails, managing calendars, processing documents, and keeping supply and vendor coordination on track without missing a beat. Responsibilities
- Serve as the first point of contact for incoming calls, emails, and client inquiries
- Manage and coordinate executive and team calendars, meetings, and travel arrangements
- Prepare, format, and proofread client-facing documents, reports, and correspondence
- Maintain digital filing systems and ensure accurate recordkeeping across departments
- Coordinate scheduling and logistics for internal meetings and client engagements
- Process incoming and outgoing mail, deliveries, and courier requests
- Track and order office supplies, coordinating with vendors as needed
- Support onboarding of new hires with administrative setup and documentation
- Assist accounting or HR teams with data entry, invoicing, and expense tracking
- Handle special projects and ad hoc administrative requests from leadership
Requirements
- 1 to 3 years of experience in an administrative, office support, or front office role
- High school diploma required, associate or bachelor's degree preferred
- Proficiency with Microsoft Office Suite including Word, Excel, and Outlook
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast paced setting
- Comfortable working independently in a remote environment with minimal supervision
- Experience with scheduling tools and virtual meeting platforms such as Zoom or Teams
- Professional demeanor and discretion when handling confidential information
