Department Information

The Non-Student Hourly Office Support position provides comprehensive administrative and operational support to four academic departments in the College of Humanities, Arts, and Social Sciences (CHASS). The position coordinates academic processes, maintains departmental records, supports faculty and students, and provides responsive customer service.

Description of Job

POSITION DUTIES AND RESPONSIBILITIES:

  • The Office Support staff will coordinate academic and departmental operations, including collecting syllabi, CVs, travel documentation, and textbook orders; maintaining faculty directories, records, websites, and files; preparing enrollment and student reports; reviewing course schedules; processing registration permits; and supporting faculty searches and onboarding. The position will also assist with departmental meetings, events, recruitment activities, marketing materials, purchasing and ABF processes, and supervision of Work Study students.
  • The Office Support staff will provide professional and responsive customer service to students, faculty, staff, administrators, and visitors by phone, email, and in person. Duties include supporting front-office operations, preparing faculty offices, managing equipment and packages, and maintaining a welcoming and professional office environment. The position will also collaborate with campus offices and administrative colleagues to coordinate services and resolve issues.
  • The Office Support staff will maintain current knowledge of university policies, procedures, programs, resources, and Human Resources requirements and participate in relevant professional development and departmental or administrative meetings as appropriate.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

  • This is an in-person, on-campus position *

Required:

  • High school diploma or equivalent.

  • Experience providing administrative, clerical, or office support.

  • Strong written and verbal communication skills

  • Proficiency with standard office technology, including email, word processing, spreadsheets, and web-based systems.

Preferred:

  • Previous administrative experience in a college or university setting

  • Experience with website content management and creating flyers or other promotional materials.

  • Experience supervising or coordinating student employees.

Compensation

$25.00 an hour for 25 hours a week
