Overview
Provide hands-on office services and administrative support, with a primary focus on print, copy, scan, mail, shipping, and general office operations. Deliver professional customer service while supporting employees, clients, and onsite staff with day-to-day office service requests. Assist with hospitality services as a secondary responsibility, including conference room setups and food/beverage arrangements.
Key Responsibilities
- Leads day-to-day operations of specified up to 2-person site, service or shift.
- Handle regular mail and prepare overnight packages for shipment using appropriate courier services.
- Receive, sort, process, and distribute incoming mail, packages, and deliveries.
- Prepare shipping labels, package documentation, and tracking information.
- Assist with conference room setups, including arranging materials, food, beverages, and other meeting requirements.
- Respond to employee and client requests in a professional, courteous, and timely manner.
- Coordinate with onsite staff regarding office services, meeting setups, deliveries, and other workplace needs.
- Perform complex printing, copying, scanning, and finishing jobs using advanced office equipment.
- Troubleshoot basic equipment issues and escalate technical problems when necessary.
- Maintain organized work areas, supplies, equipment, and office service documentation.
- Provide classroom and/or informal training to employees on office equipment, procedures, and related services.
- Lead and train team members on daily office service procedures and equipment operation.
- Set and prioritize specific, realistic goals to ensure efficient completion of daily responsibilities.
- Stay informed about current office technology, equipment, and industry trends through relevant publications and resources.
Qualifications & Skills
- High school diploma or GED required.
- 2+ years of experience in office services, hospitality, administrative support, or a related field.
- Previous experience in a law firm or professional services environment is preferred.
- Strong customer service and communication skills.
- Good organizational skills and strong attention to detail.
- Ability to learn new processes, technology, and equipment quickly.
- Strong technical skills with the ability to operate advanced office machinery.
- Proficiency with standard office technology and software.
- Ability to effectively set goals, prioritize tasks, lead team members, and provide training.
- Ability to work independently while collaborating effectively with onsite staff and clients.
