Description

Are you great a organization? Do you like an office environment? This may be the opportunity for you! I am searching for an Office Operations Representative for a great client of mine. This is a short term contract with the possibility of extension.

Key Responsibilities 

  • Perform all responsibilities in accordance with Competencies and Information Protection requirements.
  • Maintain supplies inventories. Ensure supply inventories are at appropriate levels and stored accordingly
  • Monitor and set up conference room reconfigurations and provide supplies
  • Monitor conference rooms supplies    
  • Process all incoming/outgoing mail received via interoffice, USPS, or priority couriers, and enter packages and letters into tracking systems.  Process outgoing USPS mail and Express Mail parcels.
  • Ensure fold/insert requests are completed according to customer's expectations.
  • Communicate any route changes or delivery instructions to the external courier partner. 
  • Perform basic troubleshooting on department's mail, tracking and shipping equipment and systems.
  • Monitor and coordinate maintenance on department vehicles and mailing equipment.
  • Monitor conference room schedules to determine upcoming set up or breakdown requirements.  Coordinate CenterPoint room set ups, and set up TFC room set ups according to internal customer requirements.
  • Assist internal customers by researching disposition of internal security bags, USPS certified mail, or courier shipments.  Answer questions related to shipping or postage. 
  • Monitor and maintain Office Support’s work order system for supply orders, room set-ups, and general work requests
  • Monitor, maintain and order all supplies and inventory levels  in the OSS warehouse for fulfillment.
  • Maintain warehouse storage and mailroom areas, as well as warehouse equipment to ensure an organized, clean, clutter-free and safe environment.  Load and unload pallets of materials to and from warehouse shelves.
  • Maintain effective communication with all Credit Union employees to ensure coordination and exchange of information for accomplishing Credit Union goals.
  • Perform additional duties as assigned.

Qualifications

  • Valid Washington State Driver's License, maintain a satisfactory Motor Vehicle Report in accordance to MVR evaluation, and insurability by insurance carrier to operate a vehicle.
  • Ability to safely operate a 3/4 ton cargo van.
  • Ability to operate standard equipment and machinery in a mailroom and shipping/receiving warehouse, including the forklift.
  • Proficient PC skills, with the ability to learn new software and ability to trouble shoot mail, shipping, tracking software and equipment.
  • Ability to work independently and as a team player, while using discretion in decision making and sound judgment in problem solving.
  • Ability to present a professional image when dealing with management, staff and outside contacts.
  • Ability to lift 50 pounds, as well as ability to move large items, such as tables and chairs.
  • Additional hours as necessary to accomplish objectives, goals and projects.
  • High school diploma or equivalent.
  • Minimum one year experience in a mail delivery environment.
