About the role
This role has three parts, and you'll switch between them throughout the week. You'll be the heart of our office culture, a precise and dependable part of our billing process, and the first voice many people hear when they call KRESS.
What you'll own
Culture and celebrations
- Build our annual celebration calendar each January, covering holidays, company milestones, and events like the Super Bowl, Easter, Thanksgiving, and year-end.
- Come up with creative, on-budget ideas for each event, then plan and carry them out.
- Design and assemble gift baskets for employees and clients.
- Create invitations, signage, cards, and other materials with a clean, polished eye for design.
- Find and manage vendors for printing, catering, gifts, and supplies.
- Support our employee recognition program.
Billing and accounts receivable
- Prepare invoices, upload them into QuickBooks Online, and send them to clients on schedule each month.
- Track incoming payments and follow up on past-due accounts by email and phone.
- Place accounts on hold when they fall past due under company policy, and restore them once they're paid.
- Keep clear, up-to-date notes on every client account you follow up with.
Accounts payable and payments
- Enter vendor bills and expenses into QuickBooks Online accurately, with the correct coding and supporting documents attached.
- Process payments we receive and prepare bank deposits.
Front office
- Answer and route incoming calls with a warm, professional manner.
- Sort incoming mail and get it to the right teams.
- Keep the office and shared spaces clean, organized, and welcoming.
- Track supply levels, ask the team what they need and prefer, and place orders before anything runs out.
Projects
- Take a project that starts as one sentence ("find us a better printing vendor") and carry it to completion. That means thinking ahead to what's actually needed, not only what was asked.
Requirements
Experience and qualifications
Required
- 2+ years in office administration, bookkeeping, billing, accounts receivable or payable, or a similar role.
- Hands-on experience entering invoices or expenses in accounting software.
- Working comfort with Excel or Google Sheets.
- Strong spoken and written communication skills.
- Ability to work on site in our Houston office every day.
Preferred
- QuickBooks Online experience.
- Collections or past-due follow-up experience.
- Design tools such as Canva or Adobe Express.
- Event, party, or celebration planning experience.
We'll train you on: QuickBooks Online (including certification training).
