Position Summary An established and growing specialty medical practice is seeking an experienced, organized, and patient-focused Office Manager to oversee the daily operations of multiple office locations throughout Southwest Florida. This is a hands-on leadership role for someone who is comfortable managing both administrative and clinical office functions while partnering closely with providers to deliver an exceptional patient experience. The ideal candidate is a proactive leader with strong operational, staffing, and revenue cycle management experience who can build efficient workflows and high-performing teams.
Key Responsibilities Operations Management
Oversee daily front-office and back-office operations.
Ensure an efficient and positive patient experience.
Develop and implement office procedures, workflows, and best practices.
Monitor productivity, operational performance, and key performance indicators.
Manage office inventory, supplies, equipment, and vendor relationships.
Front Office Leadership
Support patient scheduling, registration, check-in/check-out, and customer service.
Oversee insurance verification, prior authorizations, referrals, and patient communications.
Handle escalated patient concerns with professionalism and empathy.
Clinical & Back Office Support
Assist with patient flow and provider support as needed.
Coordinate clinical workflows and documentation processes.
Support wound care, DME dispensing, and other clinical office functions when necessary.
Collaborate with providers to improve efficiency and patient outcomes.
Revenue Cycle Management
Oversee medical billing, coding, collections, insurance verification, and reimbursement processes.
Ensure revenue cycle activities are completed accurately and efficiently.
Identify opportunities to improve financial performance and operational effectiveness.
Team Leadership
Recruit, train, coach, and supervise administrative and clinical staff.
Foster a positive, accountable, and collaborative team environment.
Conduct performance evaluations and provide ongoing staff development.
Compliance
Ensure compliance with HIPAA, OSHA, and applicable healthcare regulations.
Maintain accurate records and operational standards across all locations.
Qualifications
Medical office management experience strongly preferred.
3+ years of office management experience is preferred; however, exceptional candidates with less experience will be considered.
Experience managing medical office staff and daily operations.
Strong understanding of:
Medical billing and coding
Insurance verification
Prior authorizations
Revenue cycle management
Scheduling and patient workflow management
Experience with EMR/EHR systems.
Excellent leadership, communication, and organizational skills.
Ability to multitask and thrive in a fast-paced healthcare environment.
