Description

A well-established community-based organization in Queens is seeking an organized, proactive, and personable Office Manager to oversee the day-to-day administrative operations of the school and support its leadership team. Responsibilities:

  • Provide administrative and executive support to the Executive Director and school leadership team
  • Answer phones, respond to emails, and manage general office correspondence
  • Coordinate meetings, school tours, and building usage schedules
  • Create and maintain organized filing systems and office records
  • Process incoming and outgoing mail
  • Issue and track building keys
  • Order office and school supplies
  • Oversee day-to-day building maintenance and coordinate maintenance staff and security personnel
  • Welcome and assist students, parents, staff, visitors, and community members
  • Monitor visitor procedures and maintain building security protocols
  • Collaborate with leadership on emergency preparedness and building safety procedures
  • Assist with bookkeeping, invoicing, and collections
  • Prepare and submit government grant applications and NYC contract documentation, including Department of Education transportation and meal funding programs
  • Provide cross-functional administrative support as needed
  • Perform other duties as assigned

Qualifications:

  • Previous office management or administrative experience preferred
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Exceptional attention to detail
  • Friendly, professional, and customer-service oriented
  • Ability to multitask in a fast-paced environment
  • Proficient in Microsoft Office and Google Workspace
  • Bookkeeping or accounting knowledge is a plus
  • Experience working in a school or nonprofit environment is a plus

Hours: 8 a.m. - 5 p.m. Mondays - Fridays

Salary: 55K-68K
