Seeking a highly professional Medical/Legal administrative expert to join our team!
This is a full-time, on-site position located in Sacramento, CA, for a Medical Legal Office Manager. The individual in this role will be responsible for overseeing daily operations of the medical-legal office, managing administrative and receptionist duties, coordinating examinations and other meetings between claimants, attorneys, insurance adjusters, and our physicians, ensuring compliance with industry regulations, and providing exceptional customer service. Additional responsibilities include maintaining medical records and handling client inquiries to ensure seamless office functionality and high-quality service.

Work Schedule: 8:00 a.m. - 4:30 p.m. (start time has some flexibility)

Key Responsibilities:
Oversee daily office operations
Manage the scheduling of claimant evaluations (e.g. QME's, AME's, IME's)
Manage logistics for depositions, hearings, meetings, consultation calls, and trial testimony
Coordinate physician schedules
Physician onboarding, credentialing and credential renewals
Answer phones and manage front office activities
Chaperone and assist with examinations as needed
Maintain and update medical database systems accurately
Track reports, deadlines, and due dates to ensure timely completion
Ensure compliance with office policies, procedures and State regulations
Assist with collections and basic accounting tasks
Monitor and maintain office supply inventory
Supervise maintenance and functionality of office equipment (copiers, fax machines, etc.)
Respond to customer inquiries and resolve complaints professionally and timely
Medical records management
Chart preparation
Manage dictation files
Process incoming and outgoing mail, and any other task that improves office efficiency
Qualifications:
Experience in a medical-legal or legal office environment required
Experience in a deadline driven environment preferred
Strong organizational, time management and multitasking abilities
Excellent communication and interpersonal skills (in-person and telephone)
Proficiency with scheduling and office management systems and the ability to coordinate effectively with physicians, clients, and claimants
Ability to handle sensitive information with discretion
