Job Summary:

The Office Manager will be responsible for managing the day-to-day operations of the office, assisting with administrative tasks, including but not limited to: scheduling, customer service, and customer relations.

  • Maintaining customer relations with clients by providing excellent service and answering questions or concerns.
  • Manage and maintain caregiver and client schedules, including call-outs, shift changes, and open shifts.
  • Recruit, interview, onboard, and assist with the orientation of new caregivers.
  • Respond promptly and professionally to client and caregiver concerns.
  • Assist with new client intake and coordination of service start dates.
  • Follow up with prospective clients and care inquiries as needed.
  • Maintain accurate information within the scheduling/client management system.
  • Maintaining filing system in compliance with HIPPA regulations.
  • Ordering supplies for office manager duties as needed.
  • Assisting with office manager duties as needed by other employees of the company.
  • Answer incoming calls, emails, and general office inquiries.
  • Maintain an organized, professional, and welcoming office environment.
  • Assist the Owner/President with operational projects and other administrative responsibilities as needed.
  • Participate in an on-call rotation and assist with urgent scheduling issues outside normal business hours when required

Qualifications: 

High school diploma or equivalent required; Bachelor’s degree preferred. College degree is preferred.

  • Previous office management, scheduling, staffing, healthcare, home care, or administrative experience preferred.
  • Home care or healthcare staffing experience is strongly preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive and confidential information professionally.
  • Comfortable communicating with seniors, families, caregivers, healthcare professionals, and community partners.
  • Strong problem-solving skills and ability to remain professional in high-pressure situations.
  • Ability to multitask and quickly adjust priorities throughout the day.
  • Strong computer skills and ability to learn scheduling and client management software.
  • Dependable, punctual, detail-oriented, and able to work independently.
  • Must have a positive, team-oriented attitude and willingness to step in wherever needed.
