Library office manager
Support the University Librarian and Associate University Librarians by coordinating administrative operations, communication, meetings, records, and day-to-day office needs. This role helps ensure information is handled appropriately, office procedures run efficiently, and library staff and visitors receive effective support.
Position Summary
The Library Office Manager provides administrative support to the University Librarian and Associate University Librarians while assisting other library staff as needed. The position serves as an important communication link between the library and campus and off-campus entities, clearly communicating policies and needs while ensuring quest
ions and requests are appropriately heard, forwarded, and addressed.
The Office Manager manages competing priorities, identifies opportunities to streamline office procedures, adapts administrative support to the needs of multiple supervisors, and handles sensitive information with appropriate discretion and confidentiality.
What You’ll Do
- Provide administrative support to the University Librarian and Associate University Librarians, including serving on administrative councils such as the Library Leadership Council.
- Communicate university policies and procedures and coordinate interdepartmental communication related to policies, procedures, events, employees, and internal changes.
- Respond to calls, office visits, correspondence, questions, and routine requests, using sound judgment to determine what requires supervisor attention.
- Coordinate with advisors and other personnel to provide effective service to office visitors.
- Compose letters, memoranda, and other communications as directed, appropriately referring confidential or sensitive matters to the University Librarian.
- Continuously evaluate and improve office procedures to simplify processes and support an efficient workload.
- Serve as the Workday liaison and backup for time and attendance approval, and maintain access control and other security measures.
- Arrange and facilitate meetings and interview appointments, including scheduling locations, contacting participants, preparing agendas and handouts, and recording, transcribing, and distributing minutes as needed.
- Organize, secure, and maintain confidential records and filing systems, personnel directories, and internal communication channels.
- Assist the University Librarian with activities and events by coordinating gifts, catering, and, when necessary, hotel and travel arrangements.
- Maintain office supplies, submit expense reports, track receipts and library budgets, and receive, tag, and track capital equipment from purchase through disposal.
- Maintain weekly library orientation schedules and submit and follow up on building work orders.
- Compile statistics and prepare reports for university, organizational, and government entities.
- Interact with and assist library patrons.
- Schedule library classrooms and meeting rooms using EMS and maintain accurate calendars of library events.
- Perform other duties as assigned.

Education
Experience
- 2–5 years of related work experience or an equivalent combination of education and experience.
Skills & Attributes
- Advanced administrative support skills with demonstrated proficiency in office management practices.
- Excellent grammar, spelling, and proofreading skills.
- Experience preparing letters, memoranda, policies, procedures, reports, forms, newsletter articles, and other academic documents using word processing, spreadsheet, database, and/or presentation software.
- Professional demeanor and confidence working with high-level administrators, corporate recruiters, and varying personalities.
- Excellent interpersonal communication skills and the ability to work effectively in a team environment.
- Proficiency with Microsoft Office Suite and other standard software programs, with the ability to quickly learn new programs in a self-taught environment.
- Experience with or willingness to learn and use Artificial Intelligence models as needed.
- Understanding of basic accounting principles.
- Ability to manage multiple tasks and remain focused amid frequent interruptions and changing priorities.
