Position Title: Office Manager

Position Summary
Reporting to company leadership, the Office Manager is responsible for supporting daily office
operations, customer communications, payroll administration, accounts payable, accounts
receivable, and general administrative functions. This position serves as a primary point of
contact for customers, employees, and vendors while ensuring the efficient operation of office
processes and recordkeeping systems.

Schedule
•Full-time, onsite position
• Monday-Friday schedule
• 32-40 hours per week based on seasonal workload

Essential Duties and Responsibilities
• Answer and direct incoming telephone calls and respond to general inquiries from customers,
vendors, and employees
• Provide administrative support to company leadership and field personnel
• Process accounts payable, including invoice entry, payment tracking, and record maintenance
• Process accounts receivable, including invoicing, payment collection, and account
reconciliation
• Assist with payroll processing for a workforce of approximately 15-45 employees, depending
on season
• Maintain employee, payroll, and business records in accordance with company procedures
• Utilize QuickBooks to perform bookkeeping, data entry, and recordkeeping functions
• Prepare invoices and maintain supporting financial documentation
• Coordinate bank deposits and perform routine bank runs
• Order and maintain office supplies and equipment
• Maintain organized electronic and paper filing systems
• Assist with process improvements and administrative projects
• Perform other related duties as assigned

Qualifications
• High school diploma or equivalent required
• Previous experience in an Office Manager, Administrative Assistant, Office Coordinator,
Bookkeeper, or similar role preferred
• Experience with accounts payable, accounts receivable, payroll processing, or bookkeeping
functions
• Working knowledge of QuickBooks
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
• Strong organizational, time management, and multitasking skills
• Effective verbal and written communication skills
• Ability to maintain confidentiality and handle sensitive information appropriately
• High level of accuracy and attention to detail
• Experience with prevailing wage payroll is preferred but not required

Working Conditions
• Primarily office-based work environment
• Frequent use of computers, telephones, and standard office equipment
• Occasional local travel for bank deposits, supply purchases, or other business-related errands
• Position requires prolonged periods of sitting, typing, and communicating with customers,
employees, and vendors

Maintain accurate financial, payroll, and employee records using QuickBooks and standard office systems
Provide general administrative support including scheduling, filing, bank deposits, supply ordering, and process improvement initiatives
What we are looking for:Experience in an Office Manager, Bookkeeper, Administrative Assistant, or similar role with exposure to AP, AR, and payroll
Working knowledge of QuickBooks for bookkeeping, data entry, and financial tracking
Strong organizational skills with the ability to manage multiple priorities in a busy office environment
Professional, friendly communication skills with a strong customer service mindset (phone and in-person)
High attention to detail, confidentiality, and proficiency in Microsoft Office (Outlook, Word, Excel)
