What You'll Do (The Impact You'll Make)

Office Operations & Facility Excellence
  • Command the Workspace: Oversee and manage day-to-day office operations, inventory, supply orders, and routine facility maintenance needs.
  • Maintain the Standard: Keep all work areas, meeting rooms, and communal spaces beautifully organized, immaculate, and fully stocked to reflect a premier corporate image.
  • Vendor & Logistics Liaison: Manage and optimize all external vendor relationships related to office services, utilities, and corporate supplies.
  • Mail & Deliveries: Seamlessly coordinate all incoming and outgoing correspondence, physical mail distribution, and critical logistical deliveries.
Administrative & Leadership Support
  • Executive Coordination: Partner directly with leadership to assist with complex scheduling, strategic meeting coordination, and internal/external event logistics.
  • Document Architecture: Support executive projects by drafting company-wide announcements, preparing documentation, executing data entry, and organizing digital and physical filing systems.
  • Special Initiatives: Support localized marketing and internal business efficiency initiatives through meticulous tracking, documentation, and logistical planning.
Culture, Communication & Onboarding
  • First Impressions: Greet incoming clients and visitors with a warm, polished, and professional demeanor, routing phone calls and email inquiries to appropriate departments instantly.
  • Team Engagement: Help coordinate internal employee engagement activities, corporate training sessions, and company-wide social events.
  • Onboarding Support: Facilitate a smooth onboarding journey for new hires, handling immediate workspace setup and foundational orientation support.
  • Field Team Partnership: Provide courteous, efficient, and reliable operational support to our off-site field staff and technical teams.

Qualifications & Requirements

Required:
  • High School Diploma or GED equivalent required.
  • 2–4 years of steady experience in an administrative, office management, or operations support capacity.
  • Strong, advanced proficiency with the Microsoft Office Suite (specifically Outlook, Word, and Excel) and general digital office management platforms.
  • Demonstrated experience supporting corporate leadership and coordinating cross-functional departmental workflows.
  • Ability to lift and move up to 25 pounds occasionally (e.g., managing office supply shipments or event materials).
  • Ability to remain active, stand, or sit for extended periods in a traditional office setup utilizing computer systems daily.
Preferred:
  • Associate's or Bachelor's Degree in Business Administration, Operations, or a closely related field.
  • Prior experience supporting field operations or logistics-heavy teams.
