Role Responsibilities

In this fast-paced role, you will serve as both an Office Manager and Executive Assistant, providing critical support to multiple U.S.-based Executives and Vice Presidents. You will manage complex calendars, domestic and international travel, expense reporting, executive communications, and presentation development. In addition, you will oversee day-to-day office operations, ensuring efficient and professional workplace experience. Success in this role requires strong collaboration with executive assistants and business partners to support senior leaders and coordinate activities across the Austin office.

Key responsibilities include:

  • Manage complex executive calendars, scheduling priorities, travel arrangements, and expense reporting.

  • Coordinate domestic and international travel, including itineraries, accommodations, visa requirements, and contingency planning.

  • Prepare executive briefings, presentations, reports, meeting materials, and other business documents.

  • Manage executive communications and serve as a liaison between leadership, employees, customers, and external stakeholders.

  • Plan and coordinate leadership meetings, offsites, team events, and other business functions with exceptional attention to detail.

  • Partner with Executive Assistants and business stakeholders to align executive schedules and support company-wide initiatives.

  • Serve as the primary point of contact for building management, vendors, service providers, and workplace partners.

  • Manage office facilities, supplies, equipment, and workplace services to maintain an organized and productive environment.

  • Coordinate onsite office activities, meeting logistics, and employee engagement programs.

  • Support special projects and additional administrative initiatives as needed.

Role Requirements

  • Applicants must be currently authorized to work in the United States on a full-time basis. Western Union will not sponsor applicants for work visas for this position.

Basic Qualifications

  • 5+ years of experience supporting senior executives in an Executive Assistant capacity.

  • 3+ years of experience managing office operations or business administration functions.

  • Demonstrated ability to maintain professionalism, discretion, sound judgment, and confidentiality while supporting senior leaders.

  • Proven ability to anticipate needs, manage competing priorities, and thrive in a fast-paced environment.

  • Strong verbal and written communication skills, with the ability to build relationships and interact effectively at all levels of the organization.

  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.

  • Experience coordinating complex domestic and international travel and processing executive expense reports.

  • Experience using expense management systems such as Concur preferred.

  • Demonstrated ability to collaborate cross-functionally and influence outcomes without direct authority.

  • Strong organizational, time management, and attention-to-detail skills.

Preferred Qualifications

  • Bachelor's degree, Associate's degree, or equivalent experience.

  • Experience supporting C-suite executives within a public company or global organization.

  • Experience managing vendor relationships, contracts, and workplace operations.

Work Shift

HYBRID - Western Union values in-person collaboration, problem solving, and ideation whenever possible. We believe this fosters common ways of working and supports how we execute initiatives for our customers. The expectation is to work from the office a minimum of three days a week, however, given the responsibilities of the role, it may require more frequent onsite presence.

Salary

The base salary range is $85,000 - $95,000 per year; total on-target earnings include a base salary and short-term incentives that align with individual and company performance. Actual salaries will vary based on candidates' qualifications, skills, and competencies.
