OFFICE MANAGER

Position Description
RDE Capital Group LLC, a leading commercial real estate brokerage, property management, and investment services firm based in Dallas, Texas, is seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the daily administrative operations of the company. Reporting directly to the President, the Office Manager will be responsible for ensuring the efficient operation of the office, supporting employee accountability, coordinating administrative functions, assisting with human resources processes, and maintaining organizational systems that support the company's continued growth.
The ideal candidate will possess strong leadership, communication, organizational, and problem-solving skills and have the ability to manage multiple priorities in a fast-paced environment while maintaining a high level of professionalism and attention to detail.

Key Responsibilities: Office Operations & Administration
• Manage and maintain the company calendar, ensuring accurate scheduling of meetings, appointments, employee absences, and company events.
• Oversee daily office operations to ensure a productive, organized, and professional work environment.
• Maintain office supplies, equipment, and inventory, ensuring timely procurement and cost-effective purchasing.
• Coordinate maintenance and servicing office equipment, company vehicles, and office facilities.
• Develop, implement, and maintain administrative procedures and operational systems that improve organizational efficiency.
• Maintain company records, forms, templates, and administrative files.
• Schedule and coordinate company meetings, leadership meetings, training sessions, and employee events.

Human Resources & Employee Support:
• Assist with recruiting efforts, including job postings, candidate screening, interview scheduling, and onboarding activities.
• Maintain employee personnel files and ensure compliance with company policies and employment documentation requirements.
• Coordinate employee onboarding and orientation processes.
• Assist with employee benefit administration and communication.
• Maintain employee training, licensing, certification, and continuing education records.
• Coordinate employee performance review schedules and employee development initiatives.
• Conduct periodic employee engagement meetings and assist with maintaining a positive workplace culture.

Payroll & Administrative Accounting Support:
• Collect, review, and verify employee time records and timesheets for payroll processing.
• Assist with payroll preparation and submission to the company's payroll provider.
• Process vendor invoices and ensure timely submission for payment.
• Maintain administrative expense tracking and assist with budget monitoring and reporting.
• Assist management with vendor contract administration and cost management initiatives.
Vendor & Contract Management
• Establish and maintain relationships with vendors, service providers, and contractors.
• Negotiate vendor pricing and service agreements when appropriate.
• Monitor vendor performance and ensure service expectations are met.

Leadership Support & Accountability:
• Monitor employee compliance with company policies, procedures, and operational standards.
• Maintain and distribute weekly company KPI and operational reporting as directed by management.
• Track company initiatives, assignments, and action items to ensure timely completion.
• Provide regular status updates to the President regarding outstanding projects and operational priorities.
• Assist management with implementing organizational improvements and operational initiatives.

Customer & Investor Relations:
• Coordinate client, owner, and investor satisfaction surveys.
• Assist with company communication initiatives designed to enhance client and investor experiences.
• Support special projects and strategic initiatives as assigned by the President.

QUALIFICATIONS:
• Bachelor's degree preferred; equivalent professional experience will be considered.
• Minimum of three (3) years of experience in office administration, office management, human resources support, or business operations.
• Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
• Bilingual (English and Spanish) preferred.
• Exceptional organizational and time management skills.
• Strong written and verbal communication abilities.
• Ability to prioritize multiple responsibilities while maintaining accuracy and attention to detail.
• Strong interpersonal skills and the ability to work effectively with employees at all levels of the organization.
• Demonstrated leadership, initiative, and problem-solving capabilities.
• Ability to maintain confidentiality and exercise sound professional judgment.

Compensation: $52,000.00 - $56,000.00 per year
