Our client is seeking a dynamic Office Manager / Executive Assistant to support a growing organization. This position is ideal for a polished, self-directed professional who thrives in a fast-paced environment and enjoys balancing executive support, office operations, and project coordination responsibilities.

Position Overview

The Office Manager / Executive Assistant will provide direct support to senior leadership while ensuring seamless day-to-day office operations. This individual will serve as a central administrative resource, managing calendars, travel, events, communications, and administrative processes, while also overseeing office logistics, vendor relationships, and facilities coordination.

This is a highly visible role that offers broad exposure across the organization and the opportunity to contribute to a variety of business initiatives.

This position requires regular onsite presence to support office operations and executive leadership.

Key Responsibilities

Office Management

  • Oversee daily office operations, maintaining a professional, organized, and welcoming environment.
  • Serve as the primary point of contact for building management, technology providers, and other service vendors.
  • Manage office supplies, mail distribution, inventory, and vendor relationships.
  • Coordinate meeting logistics, including room setup, catering, audio/visual support, and technology needs.
  • Support administrative and accounting functions through expense tracking, invoice processing, and record maintenance.

Executive Support

  • Manage complex calendars, coordinate meetings, and arrange domestic and international travel for senior leadership.
  • Prepare correspondence, presentations, reports, and expense reconciliations with accuracy and confidentiality.
  • Serve as a liaison between leadership, employees, clients, vendors, and external stakeholders, ensuring effective communication and follow-up.
  • Assist with scheduling priorities, meeting preparation, and administrative support for key business activities.

Event & Project Support

  • Plan and coordinate internal meetings, company events, client functions, and other organizational gatherings.
  • Manage travel arrangements, accommodations, and event logistics.
  • Support special projects, business initiatives, marketing efforts, and cross-functional coordination as needed.
  • Assist with process improvements and administrative projects that enhance operational efficiency.

Qualifications

  • Minimum of 5 years of experience supporting senior executives or leadership teams in a fast-paced environment.
  • Bachelor's degree preferred; equivalent education and relevant experience will also be considered.
  • Strong organizational, time management, and problem-solving skills with exceptional attention to detail.
  • Excellent written and verbal communication skills and a professional presence.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; experience with business software platforms is a plus.
  • Ability to manage confidential information with discretion and professionalism.
  • Demonstrated ability to prioritize multiple responsibilities, adapt to changing priorities, and work independently.
  • Positive, flexible attitude with a willingness to support a variety of business needs in a growing organization.
