A DAY IN THE LIFE:
Office Coordination
Take a lead role in upholding our work hard/play hard company culture
Plan events and cultural initiatives for the office (summer picnics, team building activities, holiday decorating events, community service events, other miscellaneous events)
Prepare for meetings and trainings including scheduling, printing handouts, and coordinating catering
Answer incoming phone calls and coordinate communication with vendors and customers in the event of a Project Manager’s absence
Order office supplies as needed and keep track of office inventory
Making travel arrangements when necessary
Upkeep and organization of the office
Coordinate with the HR department and facilitate onboarding needs for new employees
Coordinate with the Marketing department to organize and update materials as needed
Project Support
Typing/preparing various items such as letters, bid instructions, memos, proposals, outline specifications, and expense reports
Provide Project support with filing drawings, printing, drawing logs, maintaining FTP site and PlanGrid, filing job site photos, processing subcontracts, and change orders
Assist Project Managers with Proposals as needed. This may include typing up proposal letters, outline specifications, manage the work/design schedule, and assemble proposal books in a timely manner as per Project Manager
Maintain various lists for Project Managers including job list for each region, subcontract tracking list, filing, and vacation lists
Prepare various forms as directed by Projects Managers (Subcontracts, Purchase Orders, Change Orders, AGC Agreements, Professional Service Agreements, and transmittals)
Point person for proposal and capabilities packages. This includes putting together proposal covers, tabs, company information, sell sheets, and then assembling once provided with rest of the materials by Project Manager
Maintain project files, including preparing new files, and sending old files off-site
Typing/preparing various items such as letters, bid instructions, memos, proposals, outline specifications, and expense reports as needed
NECESSARY QUALIFICATIONS:
5 years of office administration and project support experience, construction industry experience preferred
College degree preferred
Excellent computer skills, must be proficient in Microsoft Word and Excel
Experience working in Vista, Procore or similar accounting/ERP system preferred
Experience with document management within a file-sharing system preferred (dropbox, sharepoint, onedrive, etc.)
