HHM Talent is assisting a client with a search for an Office Manager in Cincinnati, OH.
Position Overview
The Office Manager will oversee the accounting and administrative flow tied to vehicle sales, money movement, titling, AP/AR, and monthly financial reporting.
This is a hands-on role for someone with automotive dealership accounting experience who can deliver clean books, maintain accurate records, and create a clear financial package for the company's equity owners.
The accounting structure is not overly complex. The company operates under one entity, does not upload financial statements to an OEM, and does not have a customer-facing service department. There is an internal body shop for PDI work, minimal parts activity, and no traditional repair order volume.
Key Responsibilities
Manage the accounting flow related to vehicle sales, funding, cash activity, and deal documentation
Oversee daily accounting operations including AP, AR, titling, reconciliations, and general ledger activity
Maintain accurate books within DealerTrack
Prepare monthly financial reporting packages for equity owners
Ensure vehicle sales are properly recorded and funded before units leave
Monitor money movement and ensure transactions are accurate, timely, and well documented
Work closely with the AP/AR and title support team
Maintain clean schedules and accurate account balances
Support month-end close and reporting, with a focus on accuracy over strict deadlines
Coordinate with the VP of Finance on financial reporting, accounting processes, and operational needs
Help bring structure and consistency to the office and accounting function as the company continues to grow
