Scion Staffing has been engaged to conduct a search for an Office Manager for our partner, a well-established private healthcare practice dedicated to providing compassionate, high-quality patient care in a welcoming and supportive environment. This is a full-time, onsite position in Calabasas, CA.

POSITION OVERVIEW:

The Office Manager will play a central role in ensuring smooth daily operations while creating an organized, professional, and welcoming experience for patients. This position oversees administrative workflows, scheduling, patient coordination, billing support, compliance, and front-office operations while working closely with clinical leadership and a collaborative support team. The ideal candidate brings strong healthcare administration experience, excellent judgment, and the empathy and discretion needed to support patients in a confidential care environment.

RESPONSIBILITIES:

  • Oversee daily practice operations, including scheduling, patient intake and flow, check-in/check-out processes, records, and administrative workflows.
  • Coordinate medication-related administrative processes, including prescription and refill requests, prior authorizations, secure documentation, and applicable regulatory requirements.
  • Maintain compliance with HIPAA, patient confidentiality requirements, practice policies, and applicable state and federal healthcare regulations.
  • Support and coordinate front-office staff, workflows, training, and day-to-day priorities to promote efficient and consistent operations.
  • Manage billing processes, office records, supplies, equipment, and practice management systems while maintaining accurate and organized documentation.
  • Communicate professionally and compassionately with patients, staff, and external partners while providing administrative support that enables efficient clinical operations.

QUALIFICATIONS:

  • Experience supporting office operations within a medical, behavioral health, specialty healthcare, or similar patient-care environment.
  • Strong knowledge of medical office administration, scheduling, patient privacy, HIPAA requirements, and confidential records management.
  • Experience supporting medication-related administrative workflows, such as prescription coordination, refills, prior authorizations, and related documentation.
  • Strong organizational, communication, customer service, and problem-solving skills with the ability to manage multiple priorities with accuracy and discretion.
  • Proficiency with office technology and practice management systems; experience with SimplePractice and familiarity with CURES or similar healthcare compliance systems is a plus.

COMPENSATION AND BENEFITS:

This full-time position offers an annual salary of $100,000 and includes a 401(k) retirement plan.
