Job Duties/ Responsibilities:
We are seeking a highly skilledand organized Office Manager/Accounting Support to oversee the efficientfunctioning of our Office and Accounts operations. Candidate will beresponsible for day-to-day accounting activities coordinating meetings,managing databases, and facilitating smooth communication within theorganization. Additionally, handle financial tasks, including, invoicegeneration, A/P, A/R, payroll and basic accounting duties. Candidate will serveas a key point of contact for staff, suppliers, and clients, ensuring excellentrelationships and effective collaboration. As an integral part of our team, candidatewill contribute to maintaining up-to-date administrative procedures andsupporting the organization's HR function. The ideal candidate will possessexceptional leadership abilities, possess proficiency in various softwarepackages, and have a strong understanding of accounting principles andprocesses.
Key Responsibilities:
· Coordinate and organize meetings, ensuring all necessaryarrangements are made.
· Support Company’s accounting functions like generate invoicesand handle accounting tasks such as accounts payable and accounts receivableusing ERP system.
· Enter allinvoices, bills and verify and process payments.
· Receivepayments from customers and manage activities of A/R and A/P for anydiscrepancies or collections.
· Manage databases and ensure accurate data storage and retrieval.
· Organize companyevents and conferences, ensuring their successful execution. Arrangetransportation and accommodations as required.
· Order officesupplies, stationery, and other essential items for the office.
· Handlecorrespondence, complaints, and queries promptly and professionally.
· Prepareprofessional letters, presentations, and reports to meet business needs.
· Act as a liaison between staff, suppliers, and clients,fostering positive relationships.
· Implement andmaintain efficient office administrative systems and procedures.
· Coordinate training for new employees, developing effectivetraining programs.
· Ensure compliancewith health and safety policies, promoting a safe work environment.
· Maintain strictconfidentiality of executive-level communications and activities.
· Utilize a rangeof software packages, including ERP systems, to streamline operations.
· Attend meetingswith senior management, providing valuable insights and updates.
· Assist theorganization's HR function by keeping personnel records up to date andcoordinating interviews.
· Collect, confirm,and process timesheets, overtime, and track employee vacation and sick time.
. Oversee daily operations and maintenance ofthe office building.Education and Experience:
· An associate degree in business or accounting or similardegree or experience.
· Minimum of 2-3 years of experience as an Office Managerand accountingassistant,demonstrating proficiency in office management tasks.
· Proficiency in MS Office suite, including Word, Excel, andPowerPoint.
· Familiarity with accounting software such as ERP systemsand other relevant software.
· Strong knowledge of generally accepted accounting andbookkeeping principles and procedures.
Skill Sets:
· Strong analytical skills with a keen attention to detail.
· Proven proficiency in Microsoft Office applications,including Excel, Word, and PowerPoint. Experience using QuickBooks andfamiliarity with various computer systems.
· Exceptional problem-solving skills, with the ability toidentify issues and propose effective solutions.
· Ability to thrive in a fast-paced environment, managingmultiple tasks and priorities simultaneously.
· Excellent communication skills, both written and verbal,enabling effective interaction with various stakeholders.
· Strong interpersonal skills to collaborate with customers,vendors, and service providers, ensuring the collection of necessaryinformation for bids and quotes.
· Outstanding problem-solving abilities, approachingchallenges creatively and finding efficient resolutions.
