Position Summary:
The office coordinator performs and oversees various administrative functions and processes and acts as the organization's point person for outside vendors and service providers. They also coordinate office maintenance, space planning and office events.
Responsibilities:
Manage front desk phones, email and in person visitors
Answer corporate phone line and route calls to appropriate departments
Manage monthly office expenses
Plan and coordinate office events, including luncheons, engagement events, and other office gatherings
Monitor inventory and places orders for office equipment, supplies, or provisions
Manage monthly office expenses, office P-card, and submit invoices
Manage office data and systems such as regional seating chart, workstation reservation system, and conference room reservation system
Resolve day-to-day problems and coordinate with stakeholders to obtain solutions
Support regional offices without office manager as needed with supply orders/meeting prep/corporate experience events
Support Corporate-wide office process as needed (corporate-wide mailouts, PopShop Pos/approvals, etc.)
Education and Experience:
Associates degree in business administration, office management or related field. Experience may substitute for education
One year of experience in office administration
Knowledge of office management practices, including administrative procedures, record-keeping, and file organization
Knowledge of invoicing, expense tracking, and budgeting processes
Skilled in organization, managing multiple priorities, and maintaining an orderly work environment
Skilled in customer service to interact with clients, vendors and staff
Skilled in Microsoft Office
Ability to communicate effectively verbally and in writing
Ability to efficiently use office equipment (e.g., printers, copiers, scanners) and software applications essential for office management
Ability to work autonomously with minimal supervision, taking initiative to manage and complete tasks

Physical Requirements:
May be required to sit or stand for extended periods of time
Must be able to read documents, computer screens and data
Must be able to hear and understand verbal communications in person and over the phone or computer
May occasionally be required to lift or carry items such as files or office supplies weighing up to 15 pounds
Must be able to operate a computer, keyboard, mouse and other office equipment
Work Environment:
This is an onsite role requiring the associate to work in the office during regular business hours
The office is an open setting which may include bright lights, constant noises and distractions
