Description

Job Title: Office Coordinator
Location: Easthampton, MA (100% Onsite)
Duration: 6 Months Contract
Pay Range: $25.00 to $29.65 per hour on W2
Shift: 1st Shift from 9 Am to 5 PM

Job Description:
  • Our Operations Specialist is the operational backbone of our office.
  • This role is a mix of inventory handling and office support.
  • You will handle a wide range of administrative, data entry, inventory, and reporting activities that keep the business moving every day.
  • This is a hands-on role where you will be trained in our systems and processes, and we expect you to take ownership of your responsibilities over time.
  • You will be responsible for unloading product deliveries, staging products based on workflow, kitting internal orders and assisting with organizing and maintaining existing inventory. Issuing and receiving parts into our ERP system.

Responsibilities:
  • Review and route inquiries professionally, take messages, and follow up as needed.
  • Handle everyday errands: lunch runs, document deliveries, and miscellaneous tasks as they come up.
  • Maintain a clean, organized office environment.
  • Receive, inspect, and document incoming materials to ensure accuracy, quality, and compliance with established procedures.
  • Store, label, and organize materials to support efficient workflows and safe handling practices.
  • Maintain the company stockroom of office and break room supplies.
  • Coordinate with facilities vendors and service providers to support office operations
  • Schedule shipments and plan logistics.
  • Support continuous improvement efforts related to inventory accuracy, process efficiency, and workplace safety.
  • Maintain calibration records and documentation.
  • Follow all safety, quality, and regulatory requirements while contributing to a respectful and inclusive work environment.

Must have:
  • Attention to detail and a commitment to accuracy, safety, and quality
  • Comfortable using a computer—experience with Client Office (Outlook, Excel, Word) or similar tools.
  • Ability to read, write and to follow instructions, and work independently with little guidance
  • Ability to lift 60+ lbs
  • Organized and able to juggle multiple tasks without dropping the ball.
  • Clear verbal and written communication skills.
  • Dependable, punctual, and able to work independently once trained.

Preferred Qualifications:
  • Previous administrative, clerical, front desk, or office experience preferred
  • Experience with MRPeasy, Monday.com, or Oracle
  • Experience using inventory or warehouse management systems
  • Understanding of lean principles, continuous improvement tools, or 5S practices
  • Interest in learning new processes, technologies, or cross functional
