    Summary:

    Responsible for clerical and secretarial duties, scheduling, and coordinating calendars to maintain productivity, prioritizing office procedures, compiling statistical reports and assisting in special projects as directed by the Nursing Director. Responsible for scheduling and maintenance of departmental documentation and data files. Responsible for entering charges, reviewing appropriate chart documentation, and ordering supplies. Responsible for performing various clerical duties to achieve maximum productivity with utmost quality. 

    Responsibilities:

    • Responsible for assisting staff in all aspects of departmental management. Uses high level of judgment. Uses high level of judgment when communicating with office personnel.
    • Coordinates internal activities of department. Refers concerns from department to the Nursing Director. Inform Nursing Director of all pertinent information.
    • Displays telephone courtesy and relays messages accurately to the appropriate personnel. Monitors telephone inquiries promptly and accurately.
    • Maintains policy and procedure manuals, job descriptions, Standards of Care/Practice, and Nursing protocol. Responsible for typing policy and procedure, job description, standards, and teaching plan updates as directed by Nursing Director.
    • Prepares and distributes and files reports, correspondence, documents, minutes, and memorandums in the correct format. Maintains confidential files.
    • Performs receptionist duties, greets all persons, answers questions. Provides available information and refers to appropriate person or place as needed in a courteous, caring and respectful manner.
    • Performs other tasks as delegated by Director, such as maintaining daily activity calendar and making travel arrangements. Maintains files and bulletin boards.
    • Reserves conference room. Records time and type of meeting as requested, providing efficient utilization of facility.
    • Complies with timekeeping system. Accrues no unexcused absences, and no more than 3 unscheduled absences.
    • Attends department staff meetings. If unable to attend, follows up on information discussed.
    • Follows hospital and/or unit policy for dress and personal hygiene.
    • Follows necessary safety precautions, hospital policies, and departmental policies.
    • Attends infection control and safety programs.
    • Follows the CHRISTUS Health Guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent or detect unauthorized disclosure of Protected Health Information (PHI).
    • Associate timely completes all required educational assignments. 

    Requirements:

    Education/Skills

    • High school diploma or equivalent.
    • College, secretarial or business school preparation preferred.

    Experience

    • One (1) year related experience required.
    • Previous secretarial and scheduling experience preferred.

    • N/A
