Introduction:
We are seeking a highly organized and efficient Office Care Coordinator to join our team. The Office Care Coordinator will be responsible for providing administrative support to the team, including managing schedules, Client intake, coordinating meetings and events, and handling a variety of tasks to ensure the smooth operation of the office. The successful candidate will have strong communication skills and be able to work efficiently in a fast-paced environment. Highly organized with a strong ability to manage different priorities.

Customer Service/Communication:
Responsibilities:
Manage calendars and schedules for the team, including coordinating meetings and appointments
Answer phone calls and respond to emails in a timely and professional manner
Communicate between staff, patients and family
Maintain patient confidentiality and quality care
File and maintain electronic and hard copy documents
Assist with event planning and coordination
Perform light office duties, such as ordering supplies and maintaining equipment
Other duties as assigned
Scheduling and coordinating meetings as required.
â— Recruit and train staff and create schedules
â— Assign new caregiver to Caresmartz Software and assign new caregivers to clients
â— Develop patient goals and monitor progress
â— Must Be willing to travel
Staff Support:
â— Shall be responsible for coordinating and preparing meetings and company events by assisting with registrations, confirmations, reservations, various documents, maintaining departmental calendars, sending, sorting, and redirecting, emails, and faxes, arranging for necessary equipment and refreshments, etc.
â— Creating pre-employment processes regarding coordinating and preparing interview meetings, verifying applicant credentials, making copies of the credentials, creating pre-employment folders, posting job advertisements, managing job boards, etc.
â— Assisting with other miscellaneous office tasks as required such as cleaning telephones, keyboards, calculators, maintaining office equipment, opening up office, keeping the office neat and tidy, being on call after hours as needed, etc.
Qualifications:
Previous experience as an administrative assistant in Home Care or in a similar role is preferred
Strong communication and interpersonal skills
Proficiency with computer systems and software, such as Microsoft Office and email
Excellent organization and time management skills
Ability to multitask and handle a high-volume workload
Fluency in English is required; additional language skills are a plus
