We are seeking a detail-oriented, proactive, and motivated Office Assistant to support the day-to-day administrative operations of our office. This position is ideal for a student, recent graduate, or early-career professional looking to gain valuable hands-on experience in a fast-paced and professional environment. The successful candidate will be highly organized, eager to learn, and willing to take initiative while supporting a variety of administrative, customer service, and office coordination activities. This role offers an excellent opportunity to develop professional skills while working closely with an experienced team.
Your responsibilities will include:
- Provide general administrative support, including filing, scanning, data entry, document preparation, and records management
- Answer, screen, and direct incoming phone calls, emails, and other correspondence in a professional and courteous manner
- Assist with scheduling meetings, appointments, and maintaining team calendars
- Support customer service efforts by responding to inquiries and directing requests to the appropriate team members
- Maintain and organize both digital and physical filing systems to ensure accurate and efficient recordkeeping
- Assist in the preparation of reports, presentations, proposals, and other business documents
- Monitor office supply inventory and coordinate orders to ensure the office remains well-stocked and operational
- Support special projects, team initiatives, and other administrative tasks as assigned
- Help maintain a professional, organized, and welcoming office environment
- Assist with document distribution, mail handling, and other general office duties as needed
- Collaborate with colleagues across departments to support daily business operations and ensure efficient workflow
Requirements
- Currently enrolled in or recently graduated from a college or university preferred; recent graduates and early-career professionals are encouraged to apply
- Strong organizational, time-management, and prioritization skills
- Excellent written and verbal communication skills with a professional demeanor
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook; experience with Google Workspace is a plus
- Strong attention to detail and commitment to accuracy
- Ability to manage multiple tasks and adapt to changing priorities in a fast-paced environment
- Professional, reliable, and customer-service oriented
- Positive attitude, strong work ethic, and eagerness to learn and grow
