    Position Summary

    MSU IT is looking for an Office Assistant IV to join our MSU IT Administrative Support Services group! Our team provides clerical support to a large central information technology department that enables the University’s excellence in education, research, and outreach through the delivery of world-class information technology solutions and resources.  

    In a departmental support model, this role will work with MSU IT’s departments to provide support to unit administrators, support staff, students and guests in the operational run of the department. The role will support unit administrators with calendaring, scheduling, communications, reporting, onboarding/offboarding of staff, reception activities, financial processing, student and hourly time entry, reception activities, financial processing, CAM processing, travel coordination and reconciliation, coordination of meetings and events and contribute as a subject matter expert regarding administrative functions of the organization and university. This role will also:  

    • Maintain departmental records, directories, and reports. 

    • Coordinate and order departmental supplies and maintain vendor accounts for departmental purchase.  

    • Process and track personnel and financial requests including the use of a purchasing card. 

    • Coordinate meeting rooms, assign space desk keys, and general maintenance or break-fix requests to university providers. 

    • Provide general office assistance in support of department operations.  

    • Provide reception services for the assigned department location.

    This is a pooled posting for two Office Assistant IV positions. One position is located at 4000 Collins Road, Lansing, Michigan, providing administrative support to the Enterprise Services department. The second position is located at 450 Auditorium Road, MSU Computer Center, East Lansing, Michigan, providing administrative support to the Assistant Chief Information Officer. Applicants will be considered for both positions through this single recruitment process. 

    Minimum Requirements

    Knowledge equivalent to that which would normally be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in maintaining account ledgers, departmental operations, employment, or in performing tasks related to the area of employment; experience in word processing editing and composing correspondence, and maintaining spreadsheets and/or databases; or an equivalent combination of education and experience.  

    Desired Qualifications

    • Experience with unit administer calendaring, SharePoint, spreadsheet and presentation software.

    • Strong written and verbal communication skills, with the ability to convey information clearly, accurately, and professionally. 

    • Demonstrated a work orientation that includes problem solving, teamwork and adapt ability to change. 

    • Conducts all tasks with attention to detail.

    • Experience with large meeting and event coordination, agenda preparation and note taking.
