About the Position

This skilled clerical and customer service position serves as a shared point of contact for the Department of Fleet Services, providing professional and responsive support to customers and staff. The incumbent performs a variety of administrative, clerical, and customer service duties, including responding to inquiries, processing records and documents, maintaining accurate information, and supporting daily departmental operations. The ideal candidate is organized, detail-oriented, and committed to delivering excellent customer service while effectively managing multiple priorities in a collaborative team environment.

The Equipment Services Coordinator reports to the Shop Supervisor of Fleet Services and supervises no staff.

Essential Functions:
  • Operates Fleet Services Customer Service Counter.
  • Opens the fleet facility for business each day (Shift: Monday – Thursday 6:30 a.m. to 11:30 a.m.)
  • Greets customers for vehicle and equipment maintenance / repairs.
  • Receives customer phone calls and makes appointments for service, considering customer needs.
  • Assists the Shop Supervisor in preparing work dispatch.
  • Records and resolves customer problems and complaints and/or notifies appropriate Fleet Services staff.
  • Opens work orders using the computerized fleet management system and routes to appropriate service section.
  • Advises customer of vehicle problems and notifies customers when vehicles and equipment are ready for pick up.
  • Maintains vehicle service files.
  • Prepares various reports as needed.


Working Conditions:

  1. Hazard
    • Chemicals – May be exposed to petroleum products, cleaning solvents, and fumes.
    • Conditions – Work area may have noise and vibrations.
  2. Environment
    • Office – Primarily inside, but may have outside responsibilities and exposure to adverse weather.
    • Field – May test drive or move vehicles.

About the Division

GENERAL SERVICES: The General Services Division is comprised of Fleet Services and Animal Services. Fleet Services is responsible for providing a modern, well-equipped vehicle and equipment fleet that is maintained and utilized at the lowest reasonable cost while minimizing environmental impacts. Fleet and General Services Fund is associated with procurement, maintenance, operation, and replacement of fleet assets and are charged directly to the user department through rental rates. Fleet Services provide vehicles, equipment, maintenance services and fuel to County departments and several Federal, State and local partner agencies. Animal services seeks to ensure public and animal health, safety, and quality of life within the community and works to bring about and to maintain an environment in which people and animals can live harmoniously.


Schedule: Monday – Thursday; 6:30 a.m. – 11:30 a.m.

*This position is budgeted for a maximum of 1,040 hours during the fiscal year.*


Office Assistant 1 Training & Experience:

  • Equivalent to the completion of the twelfth grade.

  • One year of general clerical and office assistance experience.

Office Assistant 2 Training & Experience:

  • Equivalent to the completion of the twelfth grade.

  • Two years of responsible clerical and office assistance experience.

An equivalent combination of experience and training that will demonstrate the required knowledge and abilities is qualifying.

Special Requirements:
  • Must be in possession of a valid driver's license at time of application, and a valid Oregon Driver's license by time of appointment.

  • This position is subject to a full background check.

  • Must wear PPE as needed
Knowledge, Skills and Abilities (preferred): 
  • Thorough knowledge of the automotive service and repair trade. 
  • Comprehensive knowledge of the operations and systems characteristics of automobiles and light trucks. 
  • The ability to plan and organize the work of skilled mechanics and semi-skilled service workers. 
  • Good organizational and communications skills. 
  • Basic computer skills and be able to use a computer keyboard and mouse.
