Summary

The Office Administrator is a member of the Field Operations team, responsible for administrative, clerical, and financial support across two assigned sites. This role serves as a primary point of contact for site communications and is accountable for accurate recordkeeping, timely daily reporting, and administrative processes. The ideal candidate is highly organized, detail-oriented, handles confidential information, and thrives in a fast-paced environment.

Job Description

Administrative & Office Support

  • Provide administrative and office support to site leadership, teams, and departments to sustain efficient day-to-day operations.
  • Coordinate meetings, travel arrangements, mail distribution, and other office activities across two assigned sites.
  • Maintain office supply inventory, including ordering, receiving, and stocking, to ensure uninterrupted site availability.
  • Operate and support office equipment, including copiers, fax machines, and postage systems, and coordinate service as needed.

Communication & Correspondence

  • Serve as a primary point of contact by answering and screening telephone calls, responding to routine inquiries, and directing communications to the appropriate parties.
  • Prepare, compose, and distribute correspondence, reports, memos, and other communications using word processing, spreadsheet, and presentation software.
  • Assemble presentation materials that support site and regional leadership reviews.

Records & Reporting

  • Maintain files, databases, records, and archives in accordance with company retention and confidentiality requirements.
  • Conduct data collection and produce multiple recurring daily reports for site and regional leadership.
  • Deliver ad hoc reporting and analysis that supports site operations and regional visibility.

Financial & Payroll Administration

  • Execute routine financial and administrative processes including expense reporting, invoicing, billing, and collections.
  • Provide accounts payable and accounts receivable support, including reconciliations and form administration.
  • Administer payroll-related documentation and data entry within approved payroll and timekeeping applications.
  • Promote a business partner and ownership mindset to the team to prioritize customer service excellence, adaptability and resilience to change and continuous improvement.
  • Other tasks as assigned.

Job Requirements

Qualifications and Experience

  • High school diploma or equivalent preferred.
  • 2+ years of administrative, clerical, or office support experience, preferably within logistics, transportation, 3PL, or a similar operations environment.
  • Experience providing administrative support across multiple sites or locations concurrently, preferably within a high-volume operating environment.
  • Working knowledge of payroll and timekeeping applications.
  • Demonstrated ability to maintain confidentiality of employee, payroll, and financial information.
  • Proficiency with Microsoft Office (Word, Excel, Teams, Outlook, etc.).
  • Experience using or willingness to learn approved AI/LLM and automation tools is a plus.
  • Must be flexible and adaptable to the ever-changing market and Lazer Logistics objectives and goals.
  • Excellent verbal and written communication skills.
  • Strong ethical and integrity code.
  • Ability to collaborate and work well in a fast-paced/dynamic team environment.
