    Position Summary
    The Office Administrative Coordinator serves as the cultural heartbeat and operational backbone of Mooring USA. This role is the first point of contact for visitors, clients, vendors, and callers, establishing the tone of professionalism, warmth, and excellence that defines the Mooring USA brand.

    This position plays a pivotal role in championing the company’s culture, mission, and core values across all interactions; internal and external. The Office Administrative Coordinator leads internal event coordination, manages front-office operations, supports leadership with executive tasks, and serves as a cross-departmental liaison to keep the organization running efficiently and collaboratively.

    Key Responsibilities

    • Champion the Mooring USA culture, mission, and core values across every interaction; serving as a visible and consistent ambassador of who we are as a company
    • Manage front desk reception duties, including greeting visitors, directing inquiries, coordinating visitor access, and maintaining a professional office environment
    • Answer, screen, and route incoming calls and communications to the appropriate departments and personnel
    • Monitor and manage mail, deliveries, and other incoming correspondence
    • Lead the planning and execution of all internal company events, including team lunches, employee recognition programs, birthday and milestone celebrations, holiday events, and culture-building activities
    • Coordinate logistics for company-wide meetings, training sessions, and leadership gatherings, including scheduling, venue/space preparation, catering, and post-event follow-up
    • Manage office supplies, equipment, and administrative vendor relationships to ensure efficient and professional office operations
    • Actively support onboarding experiences that reflect the company culture and make new team members feel welcomed and aligned from day one
    • Provide targeted administrative support to the President and CFO, including scheduling assistance, correspondence preparation, and project coordination as needed
    • Support special projects and strategic initiatives as directed by leadership
    Qualifications

    • 5 years minimum office administration experience in a fast-paced, high-accountability environment
    • Demonstrated ability to plan and execute internal events, team functions, and company culture initiatives
    • Experience within the construction and restoration industry preferred
    • Strong proficiency in Microsoft Office Suite, Google Workspace, and AI/productivity tools
    • Valid driver’s license and clean driving record
