What is the role?

The Mortgage Fulfillment Specialist is responsible for supporting Third Party Originated (TPO) mortgage loans through accurate loan setup. This includes administrative review to ensure loans are properly structured with accurate documents and labeling prior to being submitted to underwriting.

This position serves as a key operational support role for TPO partners by reviewing full initial loan packages for completeness, verifying data accuracy within the loan origination system, and confirming that loan terms, documentation, and structure align with Westerra requirements. The role also provides clerical post‑closing support by reviewing executed documents and working with TPO partners to obtain corrections or trailing documentation as needed.

All duties are performed in accordance with established Mortgage Operations procedures, and Westerra policies.

What will be expected of me?

  • Ordering and uploading third party reports via fraud report or flood certs

  • Review initial TPO loan packages for completeness, accuracy, and basic eligibility prior to submission to underwriting.

  • Verify loan structure aligns with product guidelines and minimum documentation requirements are met

  • Review required disclosures, applications, and supporting documentation for accuracy and consistency across the loan file.

  • Serve as an operational point of contact for TPO partners regarding loan setup questions, document requirements, and clerical corrections.

  • Prepare loan files for underwriting by confirming required documentation and labeling all documents within the document manager.

  • Assist with post‑closing administrative responsibilities, including:

  • Reviewing executed closing documents for accuracy and completeness

  • Verifying signatures, dates, and notarizations are correct

  • Identifying document deficiencies or errors

  • Coordinate with TPO partners to obtain corrected documents, trailing documents, or updated post‑closing items.

  • Track outstanding post‑closing documentation and follow up to ensure timely receipt.

  • Maintain accurate notes and status updates within internal systems to support pipeline visibility.

  • Ensure all activities comply with internal procedures, investor requirements, and regulatory standards.

  • Perform other clerical and administrative duties as assigned to support the Mortgage Operations team.

What am I bringing?

Experience/Education:

  • Associate degree or equivalent in experience
  • 1-3 years of mortgage Loan officer assistant, processing, loan setup, closing support, or administrative mortgage experience
  • Prior experience working with correspondent, or broker‑originated loans strongly preferred
  • Knowledge of RESPA, TILA, HMDA, Regulation B and Regulation Z requirements
  • Working knowledge of mortgage lending and consumer loans desired

  • Basic understanding of mortgage loan documentation and terminology
  • Proficiency in Microsoft Office and mortgage loan origination systems
  • Ability to prioritize workload and meet established deadlines
  • Maintains confidentiality and handles sensitive information appropriately
  • Willingness to learn and adapt to changing processes and requirements

Salary: in addition to the starting hourly rate of $21.72 - $27.15, this role is also eligible for annual bonus potential tied to Westerra's financial performance.
