Position Summary

Works under the general supervision of Manager B to perform a variety of professional-level administrative duties that may require the use of limited independent judgment and skill, processing, communicating, creating, and maintaining various records, files, and information regarding specific departmental functions.

Pay Grade: 41H

Minimum Qualifications

  • Two (2) years of experience in appropriate clerical, bookkeeping, data processing, or statistical work; AND
  • High school diploma or GED; OR
  • One (1) year of experience in appropriate clerical, bookkeeping, data processing, or statistical work; AND
  • One (1) year of college study (30 semester hours or 36 quarters).
  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.

Duties and Responsibilities

  • Processes and enters pertinent data into the computer or other record format for processing.
  • Files and maintains records.
  • Operates office equipment for the efficiency of the department.
  • Greets customers and answers questions by telephone or in person concerning departmental policies, procedures, and work functions for the Director's office.
  • Receives, reviews, and processes records, reports, and other various documents as required for accuracy and/or conformance with established policies and procedures.
  • Mails or issues authorized documents or materials as required.
  • Obtains data from various sources to prepare and compile standard reports.
  • Assists with creating and maintaining Excel spreadsheets and PowerPoint presentations.
  • Attends special events to assist with preparation.
  • Prepares conference rooms for all Director's meetings.
  • Relieves and assists other employees in the Director's office.
  • Performs other related duties as required or directed.

Knowledge, Skills, and Abilities

  • Knowledge of modern office practices, procedures, and equipment; skilled at operating office equipment.
  • Knowledge of business English and Math.
  • Ability to communicate with staff and the public with courtesy and tact.
  • Ability to plan, organize, and maintain an even flow of work.
  • Ability to express ideas clearly, concisely, and effectively, verbally and in writing.
  • Ability to resolve problematic situations.
  • Proficient in MS Office (Word, Excel, Access, and Word) and other County's software applications.

Special Requirements

  • Must possess a valid Tennessee driver''s license or secure one by date of employment.
  • Must have access to an operable automobile and meet the County requirements for automobile insurance upon date of employment.
  • May be required to travel to other Shelby County offices or events.
  • Must be able to type 25 words per minute.
