The Mine Coordinator supports the administrative, purchasing, maintenance, compliance, and human resources functions for the Lovelock Mine, Mine Maintenance, and Load & Haul operations. This role coordinates maintenance requests and work orders, manages purchasing and inventory activities through the ERP system, supports DOT and MSHA compliance, assists with employee onboarding and HR administration, and serves as the primary administrative support for the mine. The Mine Coordinator ensures efficient daily operations by maintaining accurate records, coordinating vendors and contractors, supporting supervisors and employees, and providing exceptional customer service to internal and external stakeholders.

- High school diploma or GED required.
- Two to four years of experience in administrative support, purchasing, maintenance coordination, human resources, or a related field, or an equivalent combination of education and experience.
- Experience using an ERP system (IFS or similar) to manage purchasing, inventory, work orders, and vendor information preferred.
- Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Knowledge of DOT regulations and MSHA requirements preferred.
- Strong organizational, multitasking, and time management skills with excellent attention to detail.
- Ability to communicate effectively with employees, vendors, contractors, and customers.
- Ability to prioritize multiple responsibilities and work independently in a fast-paced environment.
- Demonstrated ability to coordinate vendors, maintenance activities, purchasing, and administrative processes while maintaining accurate records and ensuring compliance with company policies.
- Coordinate maintenance requests from employees, contractors, and other stakeholders by creating, tracking, and prioritizing work orders, including expediting emergency repairs.
- Coordinate maintenance activities with internal maintenance personnel and external contractors to ensure work is completed safely, efficiently, and in accordance with company policies and service agreements.
- Process maintenance work orders and maintain accurate records in the ERP system (IFS).
- Coordinate purchasing activities, including preparing purchase orders, obtaining competitive vendor quotes, negotiating pricing, approving invoices, and ensuring timely procurement of materials and supplies.
- Maintain purchasing records and inventory levels through the ERP system, including vendor information, material inventories, and ordering/receiving supplies.
- Maintain accurate records and documentation in compliance with DOT, MSHA, EPM, and Quality Management System requirements.
- Conduct risk behavior audits to identify unsafe conditions and unsafe acts.
- Assist supervisors with scheduling, employee relations, and administrative support.
- Support the HR Generalist with onboarding, personnel records, pre-employment testing, employee file maintenance, and other HR activities.
- Welcome visitors, vendors, and customers, ensuring completion of site-specific safety orientation and issuance of required personal protective equipment (PPE).
- Receive and distribute mail and shipments, maintain front office operations, and perform general administrative duties, including filing, scanning, copying, and recordkeeping.
- Prepare new hire, safety, and benefits packets, maintain training records, personnel files, and confidential employee records.
- Assist employees with W-4 updates, direct deposit changes, benefit forms, and other routine HR transactions.
- Assist with employee communications and training initiatives.
- Perform additional duties as assigned.
