Mid-Level Project Manager - Advertising/Marketing

Job Description:

The Level 2 Project Manager will support the day-to-day project management operations during the onboarding and transition to the new media agency. This role focuses on tracking detailed task execution, maintaining project documentation, coordinating cross-functional deliverables across workstreams, and ensuring seamless handoffs between incumbent and incoming agency teams.

Responsibilities:

• Task & Schedule Tracking: Maintain detailed project plans, workstream schedules, and task boards across transition pillars (e.g., tech access, data transfer, account setup, asset handoffs).
• Cross-Functional Coordination: Serve as a central point of contact for tracking day-to-day deliverables across Strategy, Planning, Analytics, and Operations teams.
• Transition Workstream Execution: Monitor progress on transition workstreams to keep milestones on track.
• Status Reporting & Documentation: Draft weekly status reports, agenda items, meeting notes, and action-item trackers for internal stakeholders and agency partners.
• Meetings: Schedule meetings between internal and agency teams for work sessions and status updates
• Approvals and sign off: Ensure appropriate approvals are received from key stakeholders
• Risks & Issues Logging: Track and escalate potential blockers, timeline delays, or technical access issues to the Project Management Lead/Manager.
• Project or program management experience collaborating across broad groups of cross-functional stakeholders
• Attention to detail and ability to keep projects or programs on track and problem solve in real-time
• Demonstration of excellent written and verbal communication across varying functional groups and levels
• Strong facilitation skills, able to collaborate, plan, execute and follow-up on meetings at the team level
• Organized and able to self-manage details of multiple projects, deadlines and changing priorities simultaneously while maintaining strong and accurate work

Basic Qualifications:

• Bachelor's Degree
• 3+ years of project management experience within an advertising agency, marketing operations, or client-side media environment.
• Experience with digital marketing, media buying, or agency transitions is a strong plus.
• Proficiency with Project Management software (e.g., Asana, Jira, Workfront)
• Proficiency in Google Suite
• Strong organizational skills, keen attention to detail, and excellent verbal/written communication skills.

Preferred Qualifications:

• PMP (Project Management Professional) certification
• 4+ years of Project Management experience
• Experience using Workfront
