We deliver on our promise of Strong Minds, Good Hearts through an education model that gives every student the opportunity for success. The Benefits Manager is responsible for the end-to-end administration of employee benefits and leave programs. Reporting to the Director, Benefits, this role ensures accurate, compliant, and efficient processing while delivering high-quality employee experience across benefits and leave management. The position partners closely with Payroll, Finance, HRBP, and external vendors to maintain operational excellence and regulatory compliance.

Responsibilities:

  • Oversee day-to-day administration of health, welfare, wellness and retirement programs.
  • Manage benefits billing, reconciliation, and vendor payments.
  • Partner with Finance on payroll reconciliations, accruals, and reporting.
  • Ensure payroll deductions match 401(k) provider records & benefit premium deductions to prevent funding delays.
  • Ensure accurate eligibility, enrollments, and life event processing.
  • Serve as an expert resource for employees, helping to resolve escalated benefit issues and questions.
  • Manage the administration of the leave programs including FMLA, state leaves, and company policies.
  • Partner with employees and managers to support seamless leave experiences.
  • Oversee Affordable Care Act (ACA) compliance and reporting.
  • Responsible for annual reporting to Centers for Medicare & Medicaid Services (CMS).
  • Ensure compliance with ERISA, ACA, HIPAA, COBRA, FMLA, and applicable state benefit laws.
  • Support audits and maintain documentation for all department processes and controls.
  • Complete yearly 401k, & Workers' Compensation Audit with a third party.
  • Complete all yearly True-up reporting and payments.
  • Maintains reporting of benefits metrics, capturing, enrollment, cost and trend.
  • Works with third-party systems.
  • Perform data analysis, reconciliation, and validation across files, reports, and systems to identify discrepancies, inconsistencies, and trends.
  • Research and resolve eligibility, enrollment, billing, or vendor file discrepancies, including root cause identification and corrective actions.
  • Ensures appropriate and timely communications and employee education.
  • Partner with HR Business Partners and Talent Acquisition to ensure benefit programs support recruitment and retention goals in key labor markets.
  • Serve as Benefits department representative and/or facilitate benefits presentations at company events, state functions, OE Support or company Health & Wellness Fairs as needed.
  • Provides support to the Director in key initiatives as needed.

Requirements:

  • Able to maintain confidentiality.
  • Strong attention to detail and ability to manage complex, sensitive data.
  • Experience working in a team environment as a team leader/facilitator/influencer.
  • Excellent verbal and written communication skills, articulate presentation skills, and self-motivation.

 

Job Requirements

  • 5 years of experience in benefits administration.
  • Experience with benefits billing and vendor management.
  • Experience with leave of absence administration and compliance requirements.
  • Working knowledge of SOX controls, audits, and compliance frameworks highly preferred.
  • Required knowledge of all Microsoft Office Products.
  • Demonstrated creativity and experience in creating and implementing programs that match employee needs, lifestyles, and interests.
  • Must be willing to be trained in all department functions to help support during peak times.
  • Must be willing to travel and conduct presentations in person.
