    Job Title: Mentor Program Coordinator
    Work Location:

    Hybrid/remote, with required support for in-person and hybrid events at Marine Corps Base Quantico, Virginia, and the Tech Parkway Campus in Stafford, Virginia.
    Position Summary:
    We are seeking a Mentor Program Coordinator to support the administration and execution of a comprehensive professional mentoring program for Marine Corps Systems Command personnel.
    The Program Coordinator will serve as the primary operational liaison among the project team, Government Technical Point of Contact, program participants, mentors, mentees, and facilitators. This position is responsible for coordinating the full mentor-program lifecycle, including participant applications, matching activities, scheduling, communications, materials, attendance tracking, deliverables, and ongoing participant support.
    Primary Responsibilities:
    Serve as the primary liaison for the Government Technical Point of Contact and program participants.
    Coordinate annual mentor-program cohorts consisting of approximately 30 45 participants and an active mentoring period of six to nine months.
    Develop and maintain the master program schedule, including event descriptions, dates, times, delivery formats, participant capacity, locations, virtual meeting information, and participant milestones.
    Manage the participant application and enrollment process using an approved secure electronic intake method.
    Collect, organize, maintain, and securely handle mentor, situational mentor, and mentee application information.
    Coordinate participant biographies, supervisory concurrence, program acknowledgements, and other required application documentation.
    Support the structured mentor and mentee matching process, including the matching event, participant preference collection, data analysis, proposed matches, and Government approval.
    Coordinate program orientation, mentor training, midpoint check-ins, career-development events, and program-completion activities.
    Distribute mentoring partnership agreements, goal-development templates, refresher resources, support materials, recordings, and other participant-facing materials.
    Track mentoring partnership agreements, attendance, participant milestones, required submissions, and program-completion status.
    Conduct or coordinate regular participant communications and informal check-ins.
    Respond to routine participant inquiries within two business days.
    Escalate non-responsive participants, missed requirements, partnership challenges, and other program concerns to the appropriate project and Government representatives.
    Coordinate troubleshooting and reassignment actions for mentoring partnerships, subject to Government approval.
    Prepare and maintain post-award planning minutes, program-status meeting minutes, attendance documentation, application data, participant match records, and other contract deliverables.
    Coordinate calendar invitations, virtual meeting links, conference-line information, event reminders, pre-work, and final event instructions.
    Ensure that digital materials and participant communications comply with applicable accessibility, information-security, privacy, and contract requirements.
    Coordinate facilitator readiness and confirm that facilitators are prepared at least 30 minutes before scheduled program events.
    Maintain accurate, complete, and timely program records and deliverables.
    Required Qualifications:
    Relevant experience administering mentoring, leadership-development, workforce-development, training, or professional-development programs.
    Experience coordinating multi-event programs involving participant enrollment, scheduling, communications, materials, attendance, and deliverables.
    Experience supporting virtual and hybrid events.
    Ability to manage sensitive participant information using secure and organized processes.
    Strong written communication, customer-service, organizational, and documentation skills.
    Ability to communicate professionally with Government representatives, facilitators, mentors, mentees, and other stakeholders.
    Ability to manage multiple deadlines and respond promptly to participant and project-team requirements.
    Proficiency with Microsoft Office applications, including Excel, Outlook, Word, PowerPoint, and Microsoft Teams.
    Ability to meet applicable Marine Corps installation and facility-access requirements.
    Preferred Qualifications:
    Experience supporting a Federal Government or Department of Defense training, mentoring, or human-capital program.
    Experience supporting structured mentor and mentee matching.
    Familiarity with Section 508 accessibility requirements.
    Experience handling personally identifiable information, controlled information, or other sensitive participant data.
    Experience preparing formal meeting minutes, schedules, attendance reports, and curriculum-related deliverables.
