The Dispute Resolution Planner is responsible for end-to-end scheduling, venue sourcing, and logistical coordination for arbitration and dispute resolution proceedings. This position serves as a key point of contact for hearing logistics, partnering with internal teams, external vendors, and venues to ensure proceedings are executed efficiently and cost-effectively.
The ideal candidate brings strong organizational, vendor management, negotiation, and problem-solving skills, with the ability to manage multiple hearings and changing priorities in a fast-paced environment.
Key Responsibilities
- Coordinate and schedule arbitration and dispute resolution proceedings based on hearing requests and operational requirements.
- Identify and secure appropriate venues, including hotels, conference facilities, and corporate offices, based on hearing and participant needs.
- Manage logistical requirements for both in-person and hybrid proceedings.
- Partner with case administrators, coordinators, and other internal stakeholders to ensure hearings are properly scheduled and supported.
- Serve as a liaison between internal teams, participants, venues, and vendors to address scheduling changes, technical requirements, and special accommodations.
- Negotiate competitive pricing and favorable contract terms with venues and service providers.
- Secure flexible cancellation and rescheduling terms to minimize costs associated with changes to hearing schedules.
- Track and manage scheduling and venue-related expenses while identifying opportunities for cost savings.
- Troubleshoot scheduling conflicts and last-minute logistical issues to minimize disruptions.
- Maintain accurate scheduling, venue, vendor, and expense information.
Required Qualifications
- Bachelor's degree in Business Administration, Hospitality, or a related field, or an equivalent combination of education and professional experience.
- 3 5 years of experience in scheduling, event or hearing coordination, legal operations, hospitality, or vendor management.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to work independently, prioritize competing responsibilities, and solve problems in a fast-paced environment.
- Strong negotiation and vendor management skills.
- Experience managing budgets, expenses, or cost-conscious vendor relationships.
- Proficiency with Microsoft Office Suite and Adobe applications.
Preferred Qualifications
- Experience supporting legal services, arbitration, dispute resolution, hearings, or similar proceedings.
- Experience working in a regulatory, financial services, or professional services environment.
- Knowledge of hospitality, venue sourcing, and contract negotiation.
- Experience coordinating hybrid and in-person meetings, hearings, or events.
