Job Title: Medical Support Assistant (MSA) Specialty: Administrative/Scheduling Support Healthcare (MSA/Scheduler-Receptionist) Place of Work (City/State): Salt Lake City, Utah (Remote within 50 miles of Salt Lake City VA Medical Center commuting area) Site: Salt Lake City VA Healthcare System (SLCHCS) Location: 500 S. Foothill Drive, Salt Lake City, UT 84148 (Remote positions; no on-site requirement except for fingerprinting, PIV pick-up, or IT equipment retrieval at nearest VA facility) Pay rate: $22/hr on W2 Duration: 1 Year plus 2 Option Years Shift Schedule: Monday Friday, 8:00 AM 4:30 PM Mountain Time, excluding federal holidays, 8-hour shift per day. How Many Shifts Needed Per Month: Approximately 20 23 shifts per month per FTE (standard federal business day schedule) Credentialing / Onboarding Time: 6 8 weeks Education: High School Diploma or GED equivalent (minimum) Experience Needed: Minimum 6 months of customer service experience; prior medical scheduling, VA system experience, or healthcare administrative background strongly preferred Special Skills Needed:
  • Minimum 50 WPM typing speed
  • Proficiency in VA systems: CPRS, VistA, ISS, HSRM, PPMS, CTM, PCI
  • Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Basic medical terminology
  • Strong telephone etiquette and customer service skills
  • Ability to work independently in a remote setting
  • HIPAA and VA privacy compliance awareness
Responsibilities:
  • Schedule and manage outpatient appointments per VHA Directive 1230 using VistA/CPRS
  • Process community care consults via HSRM and PPMS
  • Validate and update patient demographics and insurance information
  • Conduct pre/post-appointment patient contacts and manage no-shows within 24 hours
  • Screen and respond to calls professionally; answer within 5 rings
  • Monitor access-related reports and manage recall reminders
  • Process incoming/outgoing faxes and mail per HIPAA standards
  • Perform patient check-in via PCI system
  • Maintain scheduling accuracy at or above 98% per VA guidelines
  • Complete all mandatory annual VA training and maintain zero privacy breaches
