Shift: Monday–Wednesday: 9:30 AM–6:00 PM; Thursday–Friday: 8:15 AM–4:45 PM
Schedule: Monday–Friday | 40 Hours/Week | No Weekends | Holidays as Needed | On-Call Required
Pay Rate: $21.50/hr. on W2

Required Experience

  • Four years of secretarial experience or equivalent employment experience or education.
  • Proficient in PC office software.

Preferred Experience

  • Health/hospital experience.
  • Secretarial science education or comparable experience.
  • Medical Receptionist or Front Desk experience.

Education

  • High School Diploma or equivalent.
  • Post-high-school course in medical terminology preferred.

Job Responsibilities

  • Assist the Medical Staff Coordinator, Medical Director, and Vice President, Medical Administration with gathering, coordinating, and distributing data, minutes, correspondence, and other Medical Staff activities.
  • Coordinate and provide staff support for specified Medical Staff functions and committees/departments.
  • Coordinate meeting room assignments and reservations, provide meeting notices, and prepare agendas.
  • Attend meetings as requested and produce accurate meeting minutes within one week after receipt of draft.
  • Follow up on meeting action items and maintain attendance records.
  • Produce, type, distribute, and communicate changes to on-call schedules.
  • Maintain physician mailbox listings and distribute mail accordingly.
  • Receive incoming telephone calls, record accurate messages, and place outgoing calls.
  • Coordinate duplication, collation, distribution, and filing of materials.
  • Complete office supply requisitions and equipment requests.
  • Provide backup support to other Medical Affairs secretaries as assigned.
  • Answer phone calls, check in patients, verify insurance, schedule appointments, call patients with results, and collaborate with practice providers.
  • Perform other assignments and miscellaneous or special duties as directed.
