Medical Scheduler – Pediatric Eye Care

Job Summary

We are seeking a compassionate, detail-oriented Medical Scheduler – Pediatric Eye Care to join our specialty ophthalmology practice. This role is responsible for coordinating patient appointments, assisting families, managing referrals, and supporting smooth clinic operations in a fast-paced pediatric healthcare environment.

The ideal candidate enjoys working with children and families, has strong communication skills, and takes pride in providing an excellent patient experience.

Key Responsibilities

  • Schedule, reschedule, and confirm pediatric ophthalmology appointments for new and returning patients
  • Coordinate referrals from pediatricians, optometrists, and other healthcare providers
  • Verify patient demographics, insurance information, and referral requirements
  • Communicate appointment instructions clearly to parents and guardians, including arrival times, dilation expectations, and visit duration
  • Manage high-volume incoming calls while providing professional and compassionate service
  • Enter accurate scheduling notes and patient information into the electronic health record (EHR)
  • Manage cancellations, waitlists, and urgent appointment requests
  • Collaborate with clinical staff to support efficient patient flow

Qualifications

  • High school diploma or equivalent required
  • Previous medical scheduling, medical front desk, ophthalmology, optometry, or specialty healthcare experience required
  • Pediatric healthcare experience strongly preferred
  • Familiarity with ophthalmology terminology (strabismus, amblyopia, refractions, etc.) is a plus
  • Strong customer service and communication skills
  • Ability to multitask, prioritize, and remain calm in a fast-paced environment
  • Comfortable using EHR systems and computer-based scheduling tools
  • Bilingual English/Spanish required
