Description

The overall purpose of the Medical Records Coordinator role is to establish and maintain organized medical records and files according to acceptable policies and procedures outlined in the Massachusetts BORIM Regulations. The Medical Records Coordinator is responsible for managing patients' health records and history. This includes helping conduct audits to ensure, gathering and filing patient information, and processing records release papers. The incumbent must Handle protected health information in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPAA). The Medical Records Coordinator ensures that the medical records are organized, accurate, and complete. The MRC will create digital copies of paperwork and store the records electronically. The incumbent will transfer incoming medical records of GSDM patients quickly and accurately into their EHR. The incumbent will process all records release requests from patients, medical offices, attorneys, MA Chief Medical Examiners office, and the like. The incumbent will enter pertinent diary notes into the electronic health record system, answer phones, and provide customer service to patients, other facilities, other agencies, and other GSDM staff. The incumbent will respond to email requests for information and records. The incumbent will monitor multiple fax servers identifying, preparing, and grouping the documents for further processing and ultimately to be attached to the patient chart or to be seen by the provider. The incumbent will Scan both paper and electronic version documents and enter pertinent information for later attachment to the patient charts. The incumbent will review, commit and result in the documents received and enter them into the medical record software. The incumbent will review mail addressed to the records department. The incumbent will process outgoing and incoming patient mail including processing patient missed apt letters and patient dismal letters. The incumbent will assist with processing and scheduling external referrals for the postdoctoral programs. In addition, the incumbent will assist the school nurse with administrative tasks as it relates to incident reports at GSDM. Perform other duties as assigned



Required Skills
  • High School Diploma Required.
  •  1-3 years of work experience in a similar or related role required.
  • Previous experience with customer service highly desired.
  • Working Knowledge of MS Word and Excel require.
  • Must have strong organizational skills with the ability to priority work items/tasks.
  • Must possess strong time management skill.
  • Must be comfortable working with computer and technology.
