    Position Overview
    The Medical Receptionist is the first point of contact for patients and visitors at the Gavin J. Goorjian Community Health Center. This role supports a welcoming, organized, and efficient front office by managing patient check-in and check-out, scheduling, telephone communication, demographic and insurance verification, payments, and documentation in the electronic health record. The Medical Receptionist works closely with clinical staff to support patient flow, confidentiality, and a positive patient experience.

    Key Responsibilities
    • Greet patients and visitors and provide professional, respectful assistance in person and by telephone.
    • Complete patient check-in and check-out, including verification and updating of demographic and insurance information.
    • Schedule, reschedule, and coordinate patient appointments and follow-up visits.
    • Answer incoming calls, review voicemail, route messages appropriately, and document patient communications in the electronic health record.
    • Collect co-pays and patient payments in accordance with clinic procedures.
    • Maintain accurate and confidential patient records and protect medical, personal, and financial information.
    • Monitor daily schedules and communicate patient arrivals, delays, and scheduling needs to the care team.
    • Support patient referrals and systems navigation by connecting patients with the appropriate clinic staff or community resources.
    • Maintain an organized, professional, and patient-ready front desk and reception area.
    • Follow clinic policies, procedures, HIPAA requirements, and established workflows.
    • Participate in staff meetings, training, and other organizational activities as required.
    • All other duties as assigned.

    Knowledge & Skills
    • Strong customer service, interpersonal, and verbal communication skills.
    • Ability to manage multiple priorities in a busy healthcare setting while maintaining accuracy and professionalism.
    • Working knowledge of patient scheduling, recordkeeping, and confidentiality requirements.
    • Ability to communicate with patients from diverse backgrounds in a respectful and nonjudgmental manner.
    • Proficiency with computers, Microsoft Office, and electronic health record systems. Experience with eClinicalWorks is preferred.
    • Knowledge of medical terminology, insurance processes, and HIPAA is preferred.
    • Strong organizational skills and attention to detail.
    • Bilingual English/Spanish is highly preferred.
     
    Qualifications
    • Previous medical office, healthcare reception, customer service, or administrative experience preferred.
    • Experience working with diverse populations and handling sensitive or confidential information preferred.
    • Experience with electronic health record systems preferred.

    Educational Requirements
    • High school diploma or GED required.
    Licensure Requirements
    • No professional licensure required for this position.
    • Valid driver's license and reliable transportation may be required if local travel is assigned.

    Physical Requirements
    The ability to:
    • Remain seated and work at a computer for extended periods.
    • Use a computer, keyboard, mouse, and telephone regularly.
    • Communicate effectively in person, by telephone, and via video conferencing.
    • Occasionally stand, walk, bend, reach, and lift office or clinical materials.
    • Lift and carry items weighing up to 10–25 pounds occasionally.
    • Travel locally or overnight, if required by the position.
    • Perform the essential functions of the job with or without reasonable accommodation.
