Patriot Medical PC is looking for a motivated and detail-oriented Medical Receptionist/Executive Assistant to join our team in Woodcliff Lake, NJ. This dual-role position offers an exciting opportunity to be the face of our practice while providing high-level administrative support to our medical leadership. Responsibilities:
  • Schedule, confirm, and manage patient appointments using medical scheduling software
  • Answer and direct incoming calls, emails, and correspondence in a timely manner
  • Manage physician calendars, coordinate meetings, and handle executive-level scheduling
  • Prepare and organize medical records, referrals, and prior authorizations
  • Assist with administrative projects, reports, and confidential executive communications
  • Ensure HIPAA compliance and maintain patient confidentiality at all times
Requirements:
  • Prior experience in a medical office, healthcare administration, or executive assistant role preferred
  • Familiarity with EMR/EHR systems and medical scheduling software
  • Strong knowledge of medical terminology, insurance verification, and billing processes
  • Excellent organizational, multitasking, and time management skills
  • Professional, polished communication skills — both written and verbal
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • High school diploma required; Associate's or Bachelor's degree a plus
