Medical Receptionist/ Call Center Rep– UBMD Ophthalmology

Full-Time | Onsite

Pay Range: $17.50–$21.50 per hour

Position Summary

UBMD Ophthalmology / Ross Eye Care Institute is seeking a professional, patient-focused Medical Receptionist / Call Center Representative to support both front-desk and call center operations across the practice. This hybrid role is designed to provide flexible coverage based on operational needs, with team members shifting between reception and call center responsibilities as needed.

This position serves as an important point of contact for patients in person, by phone, and electronically. Responsibilities include greeting and registering patients, scheduling appointments, managing high-volume calls, updating patient information, collecting payments, and supporting day-to-day administrative operations. The ideal candidate is adaptable, organized, service-oriented, and comfortable working in a fast-paced healthcare environment.

Candidates must have the ability to travel between all three locations: Buffalo, Amherst, and Orchard Park, as needed.


Key Responsibilities

Front Desk & Patient Support

  • Greet and assist patients and visitors in person and by phone

  • Register patients and accurately update demographic and insurance information

  • Maintain efficient patient flow and prepare patients for clinical staff

  • Answer patient questions and address concerns or escalate urgent needs appropriately


Call Center and Scheduling Support 

  • Handle high-volume inbound calls and respond to general patient inquiries
  • Schedule appointments and diagnostic services using Nextech EMR and established provider templates
  • Maintain efficient patient flow and prepare patients for clinical staff

  • Communicate add-ons, cancellations, delays, no-shows, and scheduling changes with clinical staff, coordinators, and team leads
  • Assist patients by phone and electronically with appointment coordination and general information
  • Support next-day appointment preparation and other scheduling-related tasks

Payments, Documentation & Records

  • Collect payments and complete daily payment reconciliation

  • Scan and manage medical records and correspondence in the EMR

  • Maintain patient confidentiality and follow all policies and procedures

  • Perform additional duties as assigned to support practice operations


Qualifications

  • High school diploma or GED required

  • Medical office or administrative experience preferred (training provided)

  • Strong customer service, communication, and interpersonal skills

  • Excellent attention to detail and organizational abilities

  • Comfort using computers and electronic medical record systems

  • Ability to work independently and collaboratively

  • Professional discretion when handling confidential information

  • Positive attitude and willingness to learn
