    Family Health is seeking a dependable, organized, and professional Medical Operations Administrative Assistant to support the Medical Director and Medical Operations Team. This position plays an important role in keeping clinical administrative operations organized, efficient, and confidential while providing excellent service to patients, visitors, and staff.

    Position Summary

    The Medical Operations Administrative Assistant provides administrative and organizational support to the Medical Director, Medical Operations Team, and other leadership as assigned. This position coordinates meetings and schedules, assists with onboarding and student job-shadow activities, manages administrative projects, maintains confidential information, and helps ensure the office operates smoothly and professionally.

    Reports to: Medical Director

    Essential Responsibilities

    Patient & Staff Communication

    • Greet and assist patients and visitors in a professional, friendly, and hospitable manner.
    • Answer incoming telephone calls professionally and direct calls to the appropriate individual or department.
    • Screen administrative staff calls and respond to routine requests for information.
    • Draft and respond to correspondence, emails, messages, and other communications as needed.
    • Communicate professionally and effectively with colleagues, patients, visitors, and leadership.
    • Foster positive, productive, and collaborative working relationships throughout the organization.

    Administrative Support

    • Schedule and coordinate meetings and activities for the Medical Director and Medical Operations Team.
    • Maintain calendars, meeting schedules, and related administrative information.
    • Record and distribute meeting minutes as appropriate.
    • Assist Human Resources with employee onboarding and orientation scheduling.
    • Coordinate student job-shadow experiences, including required documentation.
    • Coordinate and support medical operations administrative projects.
    • Assist leadership and other departments with administrative duties as assigned.
    • Prioritize and organize a diverse workload while meeting deadlines and maintaining accuracy.
    • Assemble, maintain, and handle highly confidential and sensitive information appropriately.

    Qualifications

    Education

    • High school diploma or GED required.

    Required Skills & Experience

    • Strong verbal and written communication skills.
    • Computer proficiency and accurate typing skills.
    • Strong organizational and time-management skills.
    • Ability to manage multiple tasks and shifting priorities.
    • Ability to maintain confidentiality and exercise sound judgment.
    • Ability to interact respectfully and effectively with individuals from diverse economic, social, and cultural backgrounds.
    • Willingness to participate in required Family Health in-service training.

    Preferred Qualifications

    • Previous administrative experience in a healthcare, medical office, or professional office environment.
    • Experience supporting leadership or management.
    • Experience scheduling meetings, maintaining calendars, taking meeting minutes, or coordinating administrative projects.
    • Familiarity with HIPAA and healthcare office practices.
