    Description

    We are seeking a detail-oriented and highly organized individual to support a fast-paced legal-medical services practice. This role focuses on scheduling, coordination, case tracking, records management, and basic financial reconciliation.  The ideal candidate is detail-oriented, proactive, and comfortable managing multiple workflows simultaneously.  The role is critical to ensuring smooth scheduling, accurate handling of medical records, and professional communication with attorneys, physicians, and staff. 

    Key Responsibilities

    • Schedule and coordinate medical–legal services including Office visits, Surgery, IMEs, SMOs, record reviews, depositions, and calls.

    • Receive, organize, and process large volumes of medical records and imaging.

    • Coordinate record requests with attorneys, facilities, and vendors

    • Reconcile invoices, charges, retainers, and payments against case files

    • Assist with document preparation, correspondence, and file maintenance

    • Update internal systems to ensure real-time case and billing accuracy

    • Communicate professionally with law firms, insurance companies, case managers, medical offices, and internal staff regarding scheduling and logistics.

     

    Qualifications

    • Strong customer service skills

    • Must be energetic and a people-person

    • Experience with Medical Office/Hospital scheduling preferred

    • Strong organizational and time-management skills

    • High attention to detail and accuracy

    • Comfortable handling confidential information

    • Proficiency with Microsoft Office products including Word and Excel

    • Ability to learn internal workflows and adapt quickly in a deadline-driven environment

     

    Preferred Skills

    • Experience with  medical records

    • Basic understanding of billing, invoicing, or accounts reconciliation

    • Strong written and verbal communication skills

     

    Position Type

    Full-time Monday-Friday
