    Medical Office Manager Position

    Summary: 

    The Office Manager Provides overall direction for all activities related to administration, operations, personnel, facility, office management, and safety at a practice with more than 2 providers.  The Office Manager is responsible for development and implementation of annual budgets and goals in each of these areas.  Ensures increasing levels of customer/patient /employee satisfaction while improving efficiency.  This position works closely with all members of the management team and others to ensure that his/her responsibilities are effectively and consistently executed.  Adheres to all Esse Health policies and procedures. Directly supervises the practice administrative and clinical staff.

    Day-to-Day:

    Responsible for and oversees the delivery of care to all patients within the practice.
    • Uses independent judgment to lead the practice toward its goals, integrating corporate objectives into the business plan when applicable.
    • Supervises all employees within the practice and is accountable for their overall performance and direction.
    • Manages all financial transactions including supply purchases, accounts payable, and credit card usage.
    • Schedules and leads monthly financial review meetings with physicians.
    • Oversees all business and payer metrics relevant to the practice.
    • Leads employee relations initiatives through effective communication, coaching, and development.
    • Implements HR policies consistently and fairly, ensuring compliance with federal and state regulations while aligning with organizational culture.
    • Manages compliance, safety, and OSHA requirements for the office, and ensures HIPAA regulations are followed.
    • Sets meaningful goals for staff and motivates the team to achieve them.
    • Ensures timely completion of annual employee performance reviews.
    • Develops and monitors the practice's annual budgets.
    • Assists with interviewing, hiring, onboarding, and other employee relations functions.
    • Handles patient complaints and escalations according to protocol.
    • Attends required meetings and communicates key messages from meetings to providers and staff as appropriate.

    Who we are seeking (preferred):

    • Bachelor's degree preferred
    • Three to five years previous medical office management experience  
    • Demonstrates strong business acumen and the ability to lead and influence others.
    • Proven leadership skills and the ability to achieve results through team collaboration.
    • Effective at organizing and managing multiple priorities.
    • Excellent oral and written communication skills.
    • Proficient in the use of technology; EMR experience (NextGen) preferred.
